As an Administrative Assistant III, you’ll play a key role in supporting the Logistics and Materials Management departments across UCLA Health. This is a high-impact position where your attention to detail, organizational skills, and analytical mindset will help keep essential operations running smoothly.
In this role, you’ll manage daily administrative tasks, assist department leadership, and support staff coordination. You’ll handle confidential information, track and analyze data, prepare reports, and support quality improvement efforts. You’ll also be responsible for processing and reconciling invoices, coordinating with Procurement and Accounts Payable, and ensuring timely monthly recharges.
This role includes a mix of administrative, financial, and project-based work, along with serving as the department’s main point of contact for incoming calls. - Strong interpersonal and commuincation skills.
- Ability to independently make decisions in the absence of management.
- Comfortable using inventory systems, Microsoft Office, and basic financial software
- Ability to use mathematickal skills to efficently analyze various pertinent data related to workload and dinance.
- Basic organizational skills to ensure a workable efficient office including organization of files, electronic and paper records.
- Ability to handle confidentiality issues with tact and diplomacy.
- Able to work well with others and independently
- Good at managing time and priorities in a busy environment
- Previous experience in a hospital or healthcare setting preferred
- Physically able to lift, push, or pull up to 30 pounds
- Willing to attend required trainings and safety drills
