Administrative Legal Secretary - Criminal

This position requires a typing test of with a minimum score of 55 wpm with 7 or less errors to be taken at the Texas Workforce Commission at 2626 JBS Parkway in Odessa, Texas.
Department: Legal Reports to: City Attorney
Summary: Responsible for performing certain legal secretarial duties within the Criminal Section of the Legal Department.
Essential Functions: Essential duties and responsibilities may include, but are not limited to, the following:
- Prepares and disseminates cases that are placed in the ancillary docket.
- Types and checks for accuracy in correspondence and routes to the appropriate attorney.
- Prepares legal letters, researches bad addresses, and prepares other related legal documents and forms.
- Interacts with other departments to ensure cases are updated with correct spelling of names and addresses in Incode.
- Indexes and organizes certain operational files and records in the prosecutor's office.
- Performs receptionist and telephone answering duties in the Criminal section of the Legal Department Office, communicates with attorney's offices in references to trials, settings and offers.
- Provides information to the public concerning complaints and City and Legal Department procedures.
- Collects and organizes data for special legal reports, forms and summaries for attorneys in the City Attorney's office.
- Performs as a Notary Public.
- Contacts witnesses in cases, including victims and police officers and schedules appointments.
- Processes cases to the municipal court for trial setting when needed.
- Supports the departmental operations with regular and timely attendance.
- Supports the relationship between the City of Odessa and the general public by demonstrating courteous and cooperative behavior when interacting with visitors and City staff; maintains confidentiality of work-related issues and City information.
- Performs other duties as required or assigned of the Legal Department.
- Demonstrates good customer skills, courteously, efficiently, and effectively.

Minimum Qualifications:
Education, Training and Experience Guidelines:
- High School Diploma or GED certification required;
- Two years' progressively responsible secretarial and/or Legal office experience.
Knowledge, Skills and Abilities:
- Ability to compose routing letters and memoranda.
- Ability to make decisions in accordance with City and Department policies and regulations.
- Possess and maintain necessary qualifications to be a notary public.
- Ability to use a personal computer, software, dictating, and phone equipment.
- Ability to speak Spanish is advantageous but not required.
License and certification requirements: A valid Driver's License is required.
Physical demands and working environment: Work is performed in a standard office environment.
