About the role

Summary

The Division of Neonatology is seeking a detail-oriented and motivated Coordinator, Business Operations to support Neonatology Faculty assigned to Ben Taub Hospital. This position provides essential administrative, and operational support to ensure smooth division operations at the site and effective coordination with central BCM departments. The ideal candidate demonstrates strong communication, organization, and customer service skills while navigating multiple priorities in a dynamic clinical environment.

Job Duties

  • Coordinates day-to-day business and financial activities of core Neonatology faculty at Ben Taub. 
  • Manages calendar and meetings for the Medical Director of the Lactation Department. 
  • Serves as primary coordinator for house staff assigned to the nurseries, including scheduling, communication, onboarding support, and liaison activities.
  • Works closely with Texas Children's operational and business partners to support Ben Taub faculty needs and ensure alignment across hospital systems.
  • Coordinates mail, documents, and package transportation between Ben Taub, Texas Children’s, and other hospital campuses. 
  • Ensures Neonatal office suites are adequately maintained, including stocking office supplies, snacks/food items, and supporting general workspace cleanliness.
  • Arranges faculty travel through Concur, processes reimbursements, and submits purchasing requests as required. NICU Designation & Regulatory Support
  • Assists the Medical Director of the Level III NICU Program with NICU State Designation regulatory and preparatory activities.
  • Tracks and compiles regulatory documentation, data, quality metrics, and reports required for the State NICU Designation review cycle.
  • Attends essential NICU Designation, Quality, Safety, and Program meetings; drafts comprehensive minutes, creates action logs, and monitors follow-up items for compliance.
  • Manages the assembly, organization, and submission of materials required for the triennial State survey and ongoing compliance reporting. Site/Clinical Support Coordination.
  • Serves as the primary administrative point of contact for Neonatology at Ben Taub, ensuring seamless communication between faculty, house staff, Women’s Services, Nursing Leadership, and Texas Children’s business units. 
  • Coordinates logistics for visiting personnel, vendors, or credentialed providers as needed. 
  • Performs other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Experience in Healthcare Administration.
  • Experience using Confur.
  • Proficiency in Microsoft Office Suite.
