About the role

Job Summary:

Supports a specialty surgical care team, ensuring smooth daily operations. Manages scheduling, authorizations, and communication between providers and patients. Provides backup coverage during absences or peak periods.

Education & Experience:
  • Required: High school diploma or GED with 3+ years in customer service, problem-solving under stress
  • Preferred: Experience in a surgical specialty, medical terminology knowledge, handling high call volumes
Licensure & Certification:
  • Not required
Key Responsibilities:

Patient & Provider Communication:

  • Answers calls for the specialty team, maintaining response time standards
  • Facilitates provider-to-provider communication and directs urgent requests
  • Returns patient calls with follow-up instructions from providers

Scheduling & Authorizations:

  • Schedules patient appointments, procedures, and tests
  • Obtains insurance authorizations and updates records accordingly
  • Coordinates follow-up appointments with necessary tests or treatments

Records & Documentation:

  • Orders and ensures receipt of external tests before appointments
  • Reviews digitized imaging to confirm accessibility
  • Manages external referrals and follows up per provider instructions

Administrative Support:

  • Maintains provider travel and academic calendars for accurate scheduling
  • Assists in training new staff members
  • Helps with billing questions and insurance authorizations

Other Duties:

  • Handles urgent requests to ensure patient safety
  • Performs additional tasks as assigned
Skills & Qualifications:
  • Ability to use multiple computer systems simultaneously
  • Self-motivated and able to work independently
  • Maintains a professional, positive attitude with patients and staff
Work Environment:
  • Medical office setting
Physical Requirements:
  • Frequent sitting, standing, walking, and reaching
  • Fine motor skills for computer use
  • Ability to lift up to 20 lbs.
