Status: Full-time, exempt
Salary Range: $70,000–$80,000 with Benefits
Experience Requirements: Minimum of three years of relevant administrative or executive support experience.
Location: Raleigh, NC (hybrid: two days in office /three remote); must be local or intend on moving to the area to be considered. Occasional travel required.

Position Summary
The Executive Assistant plays a critical role in supporting NCAAT’s Executive Director and executive leadership team. This position requires exceptional organizational skills, discretion, and the ability to thrive in a fast-paced environment. The Executive Assistant will manage scheduling, correspondence, travel, and board engagement, while also providing general organizational support and coordination.
The ideal candidate is detail-oriented, resourceful, proactive, and steady under pressure. They anticipate leadership needs, demonstrate sound judgment in decision-making, and balance a wide variety of tasks with professionalism.
Key Responsibilities
Support NCAAT Leadership
- Manage the Executive Director’s email, correspondence, and communication flow.
- Maintain the Executive Director’s calendar, scheduling meetings, travel, and events with diplomacy and strategic awareness.
- Track priorities and provide project management support, ensuring timely follow-up on deliverables and commitments.
- Coordinate travel arrangements and prepare itineraries for the Executive Director.
- Complete and submit expense reports, invoices, and other paperwork.
- Assist with interview scheduling and logistics; serve as notetaker for interviews as needed.
Organizational Support
- Schedule organizational meetings and prepare/distribute agendas and materials.
- Take notes in meetings, track tasks in Asana, and ensure follow-up.
- Provide logistical support for staff celebrations, bereavements, and special events.
- Assist with special projects and research as assigned.
- Provide general support to other staff as directed by the Executive Director.
Board Engagement
- Serve as a liaison between the Executive Director and the Board of Directors.
- Prepare board meeting materials, including agendas, minutes, and supporting documents.
- Maintain organizational records, files, and confidential information with discretion.

- Program and Project Management – Supports project execution, tracks deliverables, and ensures timely completion of administrative and strategic tasks.
