Job Description

This role can be based in San Francisco or Mountain View.

The work location of this role is hybrid, meaning it will be performed both from home and from a LinkedIn office on select days, as determined by the business needs of the team

We are looking for an Executive Assistant to provide administrative and organizational support to senior leaders. You will be responsible for skillfully interacting with management within and outside of the company, comfortably communicating with customers, vendors and visitors and flawlessly handling confidential and critical details. You will also be responsible for anticipating the needs of multiple managers and flexibly accommodating work schedules. 

Responsibilities:  

  • Full support of one VP and one Sr. Director   
  • Manage meetings with support from Chief of Staff (e.g. set agendas, prepare presentations, document meeting minutes and manage action items)   
  • Plan, organize and manage multiple calendars (resolve overlapping commitments and protect time for priorities)   
  • Coordinate all travel arrangements   
  • Manage logistics, collaborate with cross-functional partners and formalize event content for special and large-scale events   
  • Manage and reconcile expense reports, purchase and procurement requisitions and contracts   
  • Work with cross-functional partners on budget tracking and communicate financial constraints   
  • Lead large-scale special projects, as agreed with manager   
  • Maintain email distribution lists / aliases   
  • Act as the point of contact between workplace services to meet facility needs for the team   
  • May coordinate and facilitate the onboarding and coaching needs for new EAs/AAs   
  • Provide input for ways to improve structures and efficiency of the organization    
  • Find new and efficient ways to create work processes to help maximize your executives' time, including weekly and quarterly reporting, goal-tracking, and team meetings   
  • Maintain an advanced degree of confidentiality along with excellent judgement, discretion and a high degree of maturity/professionalism   
  • Partner with HR, Finance, Legal and other teams on various initiatives    
  • Apply judgment with full understanding of urgency and priorities of the business, routinely needing to multi-task with little to no direction   

Qualifications

Basic Qualifications:  

  • 5+ years of experience working at a senior and/or executive administrative level with at least 3 years at supporting the VP+ experience  

Preferred Qualifications:  

  • Bachelor’s degree or relevant experience   
  • Experience with project and budget management    
  • Demonstrates ability to be proactive, take initiative, exercise good judgment, discretion and confidentiality in all tasks 
  • Experience supporting multiple leaders of large teams   
  • Advanced knowledge of MS Office (Outlook, Word, PowerPoint and Excel) and cloud-based applications (SharePoint)   
  • Ability to set up and manage virtual meetings via MS Teams and Zoom    
  • Excellent communication, teamwork and organizational skills   
  • Ability to professionally interact with senior leaders and anticipate their needs.   
  • Thrives in a fast-paced, demanding environment   
  • Ability to effectively manage time, prioritize tasks, and work within deadlines, even if ambiguous environments.   
  • Demonstrates ability to be proactive, take initiative, exercise good judgment, discretion and confidentiality in all tasks 
  • Willingness to take on additional project work    
  • Adapts to changes quickly and can learn adopt new technologies and be flexible with new systems, tools and processes   
  • Collaborative spirit with ability to act as a team culture steward and build relationships, mentor and work effectively across Admin team at LinkedIn
