About the Role
At Greenbrook Medical the New Patient Onboarding Specialist is a salary plus commission sales position, with the goal of supporting growth and retention at Greenbrook Medical centers. As part of the Growth team, the Patient Onboarding Specialist assists in promoting Greenbrook Medical by sharing information about Greenbrook Medical with seniors, their families, and the communities we serve. The Onboarding Specialist is an ambassador of Greenbrook Medical in our community, and is expected to represent the positive, values-oriented, mission-driven ethos of our company.
The ideal candidate for the Greenbrook Medical - Patient Onboarding Specialist role is self motivated, has excellent customer service skills, and has a genuine fondness for seniors. The Patient Onboarding Specialist is highly efficient, able to manage his/her time effectively and works well both independently & as part of a team. Additionally, the ideal Patient Onboarding Specialist is friendly, outgoing, comfortable with technology, and public speaking. Location: Hybrid within Hillsborough County. This role will include up to 30-40% travel to our clinics and to outreach and community events in the Greater Tampa Bay area.
Office Hours: Mon - Fri 8am - 5pm, with flexibility for scheduled events
Key Responsibilities
The primary goal of the Patient Onboarding Specialist is to support growth and retention at Greenbrook Medical clinics.
- Assists Greenbrook Medical in nurturing and maintaining trusting relationships with patients, prospective patients, influencers, brokers/insurance agents, and community representatives associated with seniors.
- Support Greenbrook Medical Growth Team to ensure continuous growth and consistent excellence in our patient experience.
- Responds promptly to prospective patient/ influencer inquiries via telephone, mobile, web, and in person.
- Schedules prospective patient tours and/or PCP changes.
- Ensures patients receive new patient paperwork/ medical records release.
- Utilizes CRM to input prospective patient information, document interactions, and ensure effective management of leads. Maintains up-to-date information in CRM.
- Helps to support new patient growth by appropriately educating prospective patients & influencers about Greenbrook Medical via phone, email, web, community events, and health fairs.
- Assists in scheduling community activities & presentations.
- Assist current patients in completing clinic/MD transfers.
- Assists in coordination and execution of events.
- Supports Broker Relations Manager as needed.
- Assists with mail and/or email campaigns
- Abide by company policies and procedures and ensure compliance with HIPAA guidelines.
- Performs other duties as assigned.
Accountabilities
- Provide a seamless, positive experience for prospective and new patients as they transition into the clinic or healthcare system.
- Efficiently schedule new patient appointments and ensure their information is correctly entered into the Electronic Medical Records (EMR) system.
About You
- Experience: At least 1-2 years of experience in a healthcare setting, patient-facing role, or customer service position. Experience in a medical office, clinic, or hospital setting is highly preferred.
- Education: Associate’s or Bachelor’s Degree preferred
- Skills:
- The ability to operate both independently & as part of a team in a fast-paced environment.
- A passion, patience, and ability to explain complex topics to seniors and their caregivers
- Ability to independently foster relationships with prospective patients, their caregivers, and other community stakeholders.
- Ability to educate patients, influencers and community members about Greenbrook Medical’s unique value.
- Strong verbal and written communications skills.
- Excellent organization & time management skills
