Job Description
PURPOSE SUMMARY. Greets visitors, receives incoming telephone calls, receives and distributes mail, coordinates visitation between the public and the Detention Center, monitors the public during visiting hours, and performs a variety of general clerical functions for the assigned area.
ESSENTIAL DUTIES.
Professionally greets visitors, notifies appropriate person of visitor's arrival; answers inquiries and provides information or assistance to callers and visitors, which requires thorough knowledge of policies and procedures; performs a variety of general clerical functions; types correspondence, reports, and other documents as directed such as routine memorandums; completes forms and copies materials as required; assists attorneys, law enforcement, and all other agencies; operates a multi-line telephone console to receive incoming and interoffice calls; takes messages as necessary by recording name, time, date, nature of business, and person to whom the call is addressed; distributes messages to appropriate department/divisions.
If Assigned to:
FRONT LOBBY RECEPTIONIST:
Opens and secures front reception; coordinates visits between the public and detainees; monitors public in front lobby during working hours; assists attorneys, law enforcement, and all other agencies.
VISITATION RECEPTIONIST:
Opens visitation area for use and secures visitation area at end of visitation period; operates video visitation system; coordinates visits between the public and authorized detainees; enforces dress code and visitation rules and policies.
ADMINISTRATION RECEPTIONIST:
Maintains juvenile and adult files and records; runs background checks for the public; assists department with compilation of tort claims data; responsible for processing mug shots to public as requested per the Public Information Act; reviews information releases and prepares records for disbursement; collects and deposits money for background inquiries and copying fees on a monthly basis; assists payroll in paycheck disbursement.
ADDITIONAL DUTIES.
Cross trains and assists in other areas of receptionist duties. Other duties as assigned.
QUALIFICATIONS.
A. Education. High School diploma or GED.
B. Experience. One (1) year of full-time administrative, customer service experience required; a court structured environment such as court administration, judicial system, and/or legal environment is preferred.
C. Education/Experience substitution. In accordance with County Policy.
D. Licenses/Certifications. Must possess or be eligible to obtain Notary Public registration within six months of date of hire.
E. Other (e.g., post-offer, medical exam, polygraph, background check, driver's license record, etc.). Post-offer, NCIC/Law Check, Polygraph, Background Check.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED BY THE POSITION:
Knowledge of telephone etiquette; basic arithmetic; filing techniques and procedures; records management; word processing, spreadsheet programs, and JCMS correctional programs in order to effectively answer and respond to phone calls; perform calculations; maintain electronic and paper records; create, edit, save, sort, view, and retrieve information.
Skills in communication and interpersonal relations in order to provide effective customer service to the public, company representatives and other employees; handling sensitive matters in order to maintain confidentiality of personal information on inmates.
Ability to comprehend and carry out simple verbal instructions and recognize similarities and differences between words and between series of numbers; deal with standardized situations with only occasional variation; establish and maintain effective, professional work
