Summary Description: The Executive Assistant to the Head of School plays an integral role in the day-to- day operation of the school by providing administrative support to the Head of School.
Executive Support (Head of School)
Be a friendly face-first impression to all guests
Gate keeper-guarding HOS time as needed
Calendar and prioritize all appointments; triage and track calendar details.
Communications Support: Screen and monitor incoming phone calls.
School-Wide Messaging: Send out faculty/staff emails on behalf of the Head of School.
Serve as a potential source for solving situations that would otherwise escalate to HOS
Meeting Preparation: Prepare meeting notes, notebooks and handouts as required. Sourcing necessary documents for upcoming meetings. Arrange meeting spaces and if needed, food or refreshments
Strategy & Reporting: Continually advise the Head of School on pending actions, issues, or concerns.
Weekly meeting with HOS for updates on upcoming events and calendar requirements.
Attend weekly Executive Leadership Meetings
Attend monthly BLT (Executive and Academic Leadership) meetings
Participate in goal setting/achievement with HOS and Leadership teams
Make travel arrangements for Head of School as directed; prepare itinerary, and set appointments at destination

Calendar & Facility Management
Space Management: Manage "Planning Center" for all campus spaces (indoor, outdoor, and athletic). Resolve scheduling conflicts and approve events.
Academic Calendar: Working calendar for Admins-update continuously; Meet with Executive Leadership and Academic Leadership monthly to discuss and update
Year-At-A-Glance Calendar-Goes on Website. Meet with Leadership teams to determine dates for school start/stop; holidays, fall and winter break, professional development days; teacher work days, ½ days, preplanning, post planning, summer dates
Coordination: conduct annual calendar meeting with Executive Leadership Team, Academic Leadership Team, Assistant Principals, Admin Assistants, Athletics, Facilities, Advancement, Marketing and Admission Teams, Fine Arts, and Booster Club to draft the master school calendar.
Collaboration: Coordinate calendars with the Executive Leadership Team (ELT) and Academic Leadership Team (ALT). Liaise with the PAC Director for summer camps and year-round offerings.
Coordinate all HOS meetings with ELT and ALT members
Calendar retreat dates for ELT and ALT. Plan and organize details for retreat; location, food, activities
Pre-planning; includes new employee breakfast and lunches; locations and set-ups for meetings; preparation and cleanup; All school breakfasts or lunch; coordinate with CAIO on agenda
Post-planning: Coordinate with CAIO on agenda; cater all employee lunch-prep/cleanup
Coordinate with facilities on all events and meetings
Financial Oversight
Budget Management: Monitor and track all Head of School credit card expenditures
Purchasing: Request purchase orders for items over $100. Handle check requests through the Business Office
Expenses: Keep receipts and process monthly expense reports for the Head of School and yourself
Vendor Management: Manage Sam’s Club purchases and credit card for meeting supplies and snacks
Board of Trustee & Leadership Support
Board Support: Coordinate logistics for BOT meetings, including date/time/location and catering as necessary
Coordinate meetings for Board Workshop
Committee Support: Assist Committee Chairs with scheduling meeting dates for the year
Assist Board Secretary with meetings, (breakfast, lunch) for board members and HOS; Coordinate details for Board Christmas Breakfast.
Leadership Team: attend meetings to take notes and track action items. Engage in leadership discussions; read required leadership books with team
Coordinate with Advancement on meetings and special needs

Events & Hospitality
School Events: Coordinate with others in helping to plan and execute school events, including catering, supplies, decorations, set-up, and clean-up.
Internal Hospitality: Organize special lunches for the Head of School. Maintain coffee supplies, snacks, water, and mints for the office and meetings. Purchase kleenex, etc for high school
Coordinate logistics with event planner/PTF; send out invites
