Administrative Assistant to SVP, People Experience - R&D

ROLE SUMMARY
The Administrative Assistant, People Experience is responsible for providing administrative and organizational support to SVP, People Experience (PX) R&D, including but not limited to efficient calendar management, travel arrangements, preparation for and set-up of team meetings, preparation and distribution of presentations and other materials.
ROLE RESPONSIBILITIES
- Prioritize and manage key administrative duties in an efficient and timely manner, including expense reports, SOW submissions, meetings/calendar management, and travel arrangements.
- Handles correspondence / documents of confidential nature and where appropriate respond to, create, compose and/or edit written materials and/or e-mail responses.
- Proactively coordinates leadership and team meetings, prepares and edits meeting agendas, minutes & action items, reports and presentations using Microsoft Office software and other tools such as MS Teams.
- Exercises sound judgment in anticipating priorities and potential conflicts to ensure deadlines are met and leaders are properly prepared
- Provides support managing calendars, scheduling high-level, time-sensitive meetings, managing travel arrangements, and completing expense reports
- May serve as backup to Executive Assistant to EVP, Chief People Experience Officer
- Completes quality work on a timely basis, using judgment to identify most urgent issues and working to resolve them.

QUALIFICATIONS
- 3+ years’ experience of providing administrative support to senior leaders.
- Excellent communication and collaboration skills
- Ability to execute initiatives in a timely manner with high quality
- Demonstrated resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative
- Ability to work well both in team environment as well as operate independently with minimal supervision Independent, proactive and anticipates needs
- Ability and professional demeanor to interface with senior management and must be able to exhibit good judgment in handling confidential information
- Excellent attention to detail and proofreading skills
- Proficiency in MS Teams, Word, Excel, PowerPoint, and Outlook are essential
- Adept at learning new technologies and tools

- Work location assignment: Hybrid - onsite at NYHQ an average of 2.5 days per week or as the business requires.
