As the Executive Assistant, you will play a critical role in supporting our Chief Technology Officer in their day-to-day activities and helping them effectively manage their demanding schedules. You will be responsible for providing high-level administrative support, handling sensitive and confidential information, coordinating meetings, managing travel arrangements, and acting as a liaison between the executives and internal/external stakeholders. 
This role requires exceptional organizational skills, attention to detail, and the ability to thrive in an ambiguous, hypergrowth environment.

Key Responsibilities

  • Calendar and Schedule Management: Proactively manage complex calendar for the CTO, including scheduling meetings, conference calls, and appointments.
  • Prioritize and coordinate conflicting appointments, ensuring optimal time allocation.
  • Anticipate and prepare necessary materials and briefing documents for meetings.
  • Travel and Logistics: Coordinate domestic and international travel arrangements, including flights, accommodation, transportation, and visa processing.
  • Prepare detailed itineraries and provide necessary travel-related information to the executives.
  • Reconcile and process travel expenses in accordance with company policies.
  • Communication and Correspondence: Serve as a primary point of contact for internal and external stakeholders, maintaining professional and effective communication on behalf of the CTO.
  • Manage and prioritize incoming emails, phone calls, and other correspondence, responding promptly and efficiently.
  • Draft and edit correspondence, presentations, reports, and other documents as required.
  • Meeting and Events Coordination and Support: Coordinate and schedule executive-level meetings, including preparing agendas, arranging meeting rooms, and coordinating necessary resources.
  • Attend meetings, take accurate minutes, and distribute action items to ensure timely follow-up.
  • Act as a liaison between the executives and other teams, departments, and external partners.
  • Information Management: Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Organize and maintain electronic and physical files, ensuring easy access and retrieval of information.
  • Conduct research and compile data to assist in decision-making processes.

Who You Are

  • Proven experience as an Executive Assistant or in a similar role supporting C-level executives.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities with a keen eye for detail.
  • Exceptional problem-solving and decision-making skills.
  • Demonstrated ability to multitask and prioritize workload effectively.
  • Ability to maintain professionalism, confidentiality, and discretion at all times.
  • Knowledge or experience in the B2B SaaS industry is a plus.
