About the role

Position Overview:

Duties for the Parts Administrator will include issuing Pos, ordering HVAC parts for customer’s equipment, following up with customers on estimated time arrival for parts, researching warranty parts and following up on credits, quoting repairs with non-policy customers, scheduling follow up calls/repairs with the customer, and other duties as assigned.

 

Responsibilities:

  • Issuing, receiving, and batching PO’s.
  • Ordering HVAC parts for customer’s equipment.
  • Conduct semi-yearly physical inventories and quarterly spot checks.
  • Following up with customers on estimated time arrival for parts.
  • Researching warranty parts.
  • Quoting repair with non-policy customers.
  • Scheduling follow up call/repairs with the customer.
  • Returning customer’s calls to discuss timeline on their part/repairs.
  • Researching backordered parts/materials.
  • Reviewing parts reports.
  • Accurate record keeping.
  • Ensuring area is kept clean, organized, and safe.
  • Other miscellaneous office duties or project as assigned.

 

Job Requirements:

  • High School Diploma required.
  • Competency in MS Windows, MS Suite, and MS Outlook.
  • Ability to type a minimum of 30 wpm is preferred.
  • Well organized, detail oriented with ability to work under pressure and meet deadlines while managing multiple concurrent tasks.
  • Ability to work independently.
  • Strong analytical, verbal, and written communication and interpersonal skills.
  • Past inventory management experience a plus.
  • Experience in HVAC business a plus.
  • Ability to work overtime during month-end and peak heating and cooling seasons is a must.
