The AI Experiences (AIX) Monetization Product team is driving the next generation of AI-powered business growth and monetization across Microsoft. We are seeking an experienced Executive Business Administrator who excels in fast-paced environments, thrives in ambiguity, and brings operational rigor to complex organizations.
As an Executive Assistant, you will support the Vice President of Strategy & Operations, and other levels of support. Acting as a strategic business partner, you will help maximize leadership effectiveness by driving operational excellence, enabling organizational priorities, managing critical business rhythms, and fostering collaboration across a broad network of stakeholders. Starting January 26, 2026, Microsoft AI (MAI) employees who live within a 50- mile commute of a designated Microsoft office in the U.S. or 25-mile commute of a non-U.S., country-specific location are expected to work from the office at least four days per week. This expectation is subject to local law and may vary by jurisdiction.
Responsibilities
- Strategic Calendar & Executive Time Management
- Drive proactive calendar management and executive prioritization, ensuring alignment to organizational objectives and business priorities. Exercise judgment in balancing competing demands and maximizing executive effectiveness.
- Cross-Functional Collaboration & Stakeholder Management
- Build and maintain trusted relationships across organizations and act as a key liaison among internal and external stakeholders. Facilitate communication, drive alignment, and help accelerate decision-making across complex business initiatives.
- Meeting, Event & Offsite Management
- Own the planning, logistics, coordination, and execution of leadership meetings, offsites, town halls, employee engagement events, and strategic business forums while managing multiple deadlines and priorities.
- Travel & Executive Readiness
- Coordinate complex domestic and international travel, create detailed itineraries, manage trip preparation and expense activities, and ensure leaders are prepared for high-impact engagements.
- Space Management
- Partner with Space Lead with space-management process and team spaces (e.g., office locations/desk assignments, private conference rooms, seasonally transitional spaces, remote/location status), cascading space management vision to fellow team members. Addresses and resolves high-level space requests. Leads large-scale space requests (e.g., annual office restacks, space build outs), liaising between admins and space planner and negotiating for appropriate space for their team. Determines future space planning needs and drives space changes based on utilization of data and upcoming organizational changes.
- Team Experience & Culture
- Support employee lifecycle activities and foster an inclusive team environment through onboarding, recognition programs, morale initiatives, and culture-building efforts.
- Leadership, Influence & Continuous Improvement
- Demonstrate executive maturity, discretion, and professionalism while contributing to the broader Business Support community through mentorship, knowledge sharing, process improvement, and operational excellence initiatives.
Qualifications
Required Qualifications:
- 5+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.
Preferred Qualifications:
- Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
- OR equivalent experience.
- Experience managing complex executive calendars, travel, meeting logistics, and business operations activities.
