About the role
Coordinates and manages office activities and workflow processes to ensure smooth efficient operations in the department. Performs administrative support duties, makes work related decisions in accordance with existing policies and procedures. Oversees the work activities of lower level support personnel and staff. May perform designated duties of immediate supervisor during periods of absence. Overall, support the Chair on all operational activities in the department. Provides support to faculty, students and research personnel.
Daily Operations
- Monitors, complies and interprets the department’s budget, financial items and grant specifications.
- Administers and coordinates academic and departmental activities, office services and the work activities of lower level support personnel.
- Assists in the development and implementation of office procedures and work schedules. Plans, schedules and facilitates meetings. Acts as a liaison with other departments, faculty, staff, students and external organizations and responds to inquiries regarding department policies, procedures and functions.
- Assist Chair in the recruitment of faculty and staff. Management submission of payroll of faculty and research personnel. Assist the Chair in BOT reports and ATP reporting
- Support Chair and faculty in reconciling BOA monthly statements
- Provides support to the Seminar Coordinator and sends out weekly notices
- Performs other related duties as assigned.
Required Skills
- Comprehensive knowledge of institutional policies, procedures and organization structure.
- Demonstrated knowledge and proficient in use of various PC office based applications to include work processing and spreadsheets
- Effective verbal and written communication skills. Strong composition and editing skills
- Good organization and time management skills
- Demonstrated interpersonal skills necessary to establish and maintain effective working relationships with internal and external contracts
- Proficiency with use of e-mail, work processing, spreadsheet, database, and presentation of software
Required Education and Experience
- Bachelor’s Degree plus one year of related experience or a minimum of 3-5 years of related work experience
