Job Description

The Master of Medical Sciences in Therapeutic Sciences (MMSc-TS) program is seeking a Program Coordinator (PC) to provide overall operational and admissions support for the MMSc-TS and other Office of Graduate Education projects. Under the direction of the Senior Director for Therapeutics Training & Education, this individual will be the primary program coordinator for the MMSc-TS and be the point person responsible for the administration of the program. This role is crucial for managing a growing volume of admissions activities and supporting general program operations year-round, including student management, curriculum management, student oversight, tracking programmatic metrics, graduation-related tasks, and other administrative tasks. The PC will coordinate content with the Master's Program team and, act as the liaison for internal and external constituencies, including students, faculty, teaching assistants, and administration. The PC’s role will be student facing require student management and advising. The PC will work closely with the MMSc-TS leadership team to maintain operational excellence. 

Key Responsibilities (this role is expected to be the point person/lead in the following activities): 

Admissions and Onboarding 

  • Manage communications with prospectives and students, as well as field program inquiries 
  • Work with marketing team to develop and implement program marketing strategy
  • Manage program applications and admissions process, including organizing and scheduling information sessions and admissions committee meetings
  • Support student onboarding, including preparation, tracking, and compliance for student visas as needed  

Curriculum Management 

  • Responsible for all administrative tasks related to curriculum, including tracking of educational materials for classes
  • Maintain record of grades and other statistics and report as appropriate, including to the Registrar

Student Management

  • Serves as the primary contact for all student issues for the program and OGE, including answering and triaging questions as appropriate
  • Track advising schedule and related documentation

Events Planning and Coordination 

  • Plan program-specific events to build community, including creation and organization of monthly program events, organization of twice-yearly larger events (fall symposium and spring event), and working with senior director/finance personnel on budget and payment paperwork management
  • Support events in person, including helping with set up and break down as needed

General Programmatic Administrative Tasks 

Responsible for leading administrative management of the program, which include:

  • Maintain all programmatic records (applications, statistics, admissions, etc) 
  • Responsible for all administrative tasks related to graduation
  • Develop and coordinate data and records for all students, alumni, and faculty
  • Work with the Office of Graduate Education (OGE) on all administrative-related items and tasks
  • Maintaining awareness and communicating to students, faculty, and other stakeholders program-specific policies and procedures
  • Other duties as assigned

Qualifications

Basic Qualifications:

  • 4 or more years of relevant experience. Higher education may count towards experience.


Additional Qualifications and Skills:

  • Bachelor’s degree preferred  
  • Experience with admissions, higher education, or program administration preferred.
  • Familiarity with admissions platforms, databases, or LMS a plus.
  • Excellent organizational skills • Excellent communication skills. 
  • Strong time management skills, with ability to balance priorities across multiple programs.
