The University of Miami has an exciting opportunity for a Surgery Scheduler 2 with Bascom Palmer Eye Institute located in Miami, Florida. The Surgery Scheduler 2 acts as liaison between patients, professional staff, and physicians by scheduling and coordinating all necessary functions for surgical and diagnostic procedures. Further, the Senior Surgery Scheduler acts as source of knowledge for scheduling staff and oversees their functions to ensure accurately and timely scheduling practices.

CORE JOB FUNCTIONS                                                                                                          

  • Obtains pre-authorizations for procedures as required by insurance companies.

  • Oversees, produces, and distributes all surgical and procedural schedules to physicians and departments.

  • Collaborates with patients, families, staff, and providers within the office and the greater community to schedule surgeries, pre-op physicals, and testing.

  • Coordinates with hospitals and vendors for special cases or circumstances.

  • Identifies ways to streamline surgical scheduling process and provides suggestions to managing staff.

  • Ensures that electronic systems and scheduling tools are up-to-date and operating smoothly, and immediately contacts appropriate personnel to resolve any issues.

  • Ensures documentation is complete to support accurate billing of surgical procedures.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS                                             

Education: High School diploma or equivalent

Experience: Minimum 3 years of relevant experience

Knowledge, Skills and Attitudes:

  • Ability to communicate effectively in both oral and written form.

  • Skill in completing assignments accurately and with attention to detail.

  • Ability to process and handle confidential information with discretion.

  • Ability to work independently and/or in a collaborative environment.

  • Proficiency in computer software (i.e. Microsoft Office).

DEPARTMENT ADDENDUM

Department Specific Functions

  • Works closely with Director, Surgical Scheduling on billing/charge reconciliation issues and serves as a back-up resource for charge posting across BPEI surgical sites.

  • Reports edits by billing area on daily basis.

  • Verifies that all controls are followed so that no charges are missed.

  • Ensures charge-posting of surgical cases with 24-48 hours of completion.

  • Reviews UHealth daily census reporting (all BPEI surgical sites) for forecasting purposes and the daily Hospital Charges by Cost Center report to ensure proper reconciliation.

  • Collaborates with OR/Purchasing/Revenue Integrity and QSight in the resolution of missing supplies/implants.

  • Identifies and provides updates for supplies/implants to OR Leadership for preference card updates.

  • Reviews addendums on daily basis and triggers charges accordingly

  • Reviews cases daily for missing professional charges and communicates/guides surgeon on addendum entries.

  • Prepares monthly premium lens report for all BPEI surgical sites.  Provides report to Finance.

  • Responsible for annual premium lens utilization reporting to all BPEI surgical sites (ad-hoc reporting as well).

  • Maintains listing of lenses by type and functions and updates listing on regular basis.  Provides updates to Finance.

  • to surgeon Follows up on addendum and triggers charges on daily basis

  • Assists Manager with budget development to include forecasting, planning, implementing, and monitoring of annual goals and productivity.

  • Assists in the development and implementation of policies as they relate to billing and surgical scheduling.

  • Develops templates and resource tools to facilitate billing/surgical scheduling operations.
