About the role

Overview

This position is a key partner in critical business processes, development of policies and strategies, and focuses on administrative systems in service of the objectives for Strategic Enrollment Management (SEM). As a vital technical stakeholder, the role provides leadership in the implementation, development, and maintenance of student information systems and other student applications, and retrieves and assesses data to support institutional data needs and governmental reporting requirements. The position promotes technological advances by managing projects that require researching, assessing, and implementing initiatives for all student-related systems.  This role regularly reviews degree and certificate programs to identify opportunities for updates that better promote alignment with program completion requirements. The position collaborates closely with academic departments to analyze program structures, recommend improvements, and support initiatives that foster student success and timely graduation.

Responsibilities

  • Research, retrieve, manipulate and analyze data at an advanced level using Colleague, Entrinsik Informer, Microsoft Access and Excel from conceptualization through presentation. Effectively diagnose, evaluate and resolve simple and complex data integrity issues. Representing the Office of the Registrar and Records, and through collaboration with other departments, develop and understand report specifications for ad hoc and standing data requests. Develop appropriate methodologies for collecting, analyzing, and presenting data for internal constituents and as needed to external organizations. Review and report enrollment data to National Student Clearinghouse (NSC) including record retrieval, error correction and submission.  Investigate and correct any subsequent required NSC or National Student Loan Data System (NSLDS) data requests/errors.  Remain up-to-date with NSC and NSLDS reporting regulations, processes and changes, and provide timely updates to stakeholders as needed.

 

  • In collaboration with Information Technology Services and appropriate campus departments, serves as liaison to ERP software providers to troubleshoot complex issues with Colleague and other third-party systems.  Participate in student system upgrades and software updates for multiple applications by reviewing technical documents; determining impacted areas; performing system testing in a test & production environment; identifying and reporting issues; advising decision of final approval for implementation in production environment.  Remain current and make recommendations for student information system enhancements to meet the evolving needs of the college and its students.

 

  • Review degree and certificate programs to identify opportunities for updates that better promote alignment with program completion requirements. Create and update Degree Audit Syntax and facilitate related course movements/substitutions.  Determine areas for review of syntax language or specific program requirements on an ongoing basis.  Collaborate with academic departments to recommend adjustments as appropriate. 

 

  • Troubleshoot technical issues encountered by the staff and administrators in the Office of the Registrar and Records.

 

  • Ensure compliance with federal and state regulations by recommending policy and procedures, and implementing required processes. Maintain confidentiality and privacy, in full compliance with the Family Educational Rights and Privacy Act (FERPA).

 

  • Perform other related duties and responsibilities as assigned.

Qualifications

Education: 

  • Bachelor's Degree required, degree in Computer Science, Business Technology or related field preferred.

 

Experience: 

  • Three years of experience in information systems and/or quality management, preferably in a higher education setting.

 

Knowledge/Skills/Abilities: 

  • Must be able to work in a team environment as well as independently manage project initiatives, meet deadlines and be able to respond to ever-changing business needs, regulatory practices and technology to meet the goals of the college.
  • Excellent organizational, planning and project management skills, as well as versatility, flexibility, and problem-solving ability.
  • Strong user-facing skills with the ability to understand both business needs and the underlying technologies to support them in a higher education environment.
  • Strong communication, interpersonal, and organizational skills.
  • Must be computer literate with ability to utilize Microsoft Office at an intermediate level and the ability to learn and utilize specific higher education programs and systems.
  • Experience with Clearinghouse
