About the Position:
The Office of the Registrar serves students and the campus community by providing quality services that facilitate enrollment, retention, and degree completion while maintaining accurate academic records for the University. We are also responsible for processing transfer credit and maintaining articulation agreements with other institutions. Additionally, we register new and continuing students for classes, maintain academic records, prepare transcripts and diplomas, and review petitions for exception to university policy. We seek an exceptional individual to join our team as the Records Technician (Administrative Support Assistant II). Under supervision, the Records Technician is responsible for providing general office, clerical, and secretarial support to students, faculty, staff, and community members. Processes mail, maintains files and records, processes documents and records, gathers data, and interacts with and solves problems for work unit customers and staff. Responds to customers via email, telephone, and in person. Use a variety of office support technology and systems such as word processing and spreadsheet packages to complete assignments. Assists with scheduling meetings and events as needed. Performs all student records related functions on Content Management System (CMS) including making corrections to the records if error(s) exists or advises student of proper procedures for requesting appropriate record adjustment. Processes written transcript requests from incoming mail. Coordinates with National Student Clearinghouse the processing of PDF and electronic transcripts and mails out transcripts as requested by student. Research any discrepancies with the National Student Clearinghouse regarding transcripts. Reviews and tracks transcript history; reviews and notifies students of hold or insufficient information on transcript requests by email or phone. Retrieve and review petition requests for: General Education (GE) variations, retroactive adds and withdrawals, change in grading basis, change of unit value, postgraduate credit and extension credit transfers. Reviews Student Inquiry forms for potential petitions based on Executive Order (EO) 1037 policy. Other duties as assigned.
