About the role
Job Summary:
Provides departmental assistance to maintain the efficient operation of Volunteer Services and Gift Shop. Serves as a primary point of contact for customers and volunteers.
Essential Job Duties:
- Balances and maintains the Gift Shop cash drawer. Runs daily and monthly register reports. Counts cash, reconciles drawer and payroll deducts. Makes daily deposits. Emails payroll deduction errors/additions to Accounting. Tracks income daily on Excel reporting forms.
- Assists volunteers with training/questions regarding cash register, credit card and DeductIt machines in gift shop as well as remote sales.
- Processes invoices in a timely manner. Processes inventory damages, tracks vendor credits/damages, writes checks to vendors. Tracks checks on Excel tracking form. Maintains adequate change for gift shop from bank including petty cash. Invoices departments who charge gift shop purchases and tracking to ensure payment.
- Provides daily tracking reports of gift shop sales and fundraisers.
- Sets up room arrangement and remote DeductIt for monthly fundraisers. Reconciles each event and writes check to vendors for payroll money owed.
- Helps maintain volunteer schedules and scheduling changes.
- Develops marketing and informational material. Maintains and posts on Social Media accounts daily. Speaks to new hire orientation class, on radio, etc. in absence of Manager.
- Tracks volunteer information on software management program including application information plus volunteer and vendor compliancy information. Enters volunteer hours for those not entered on the kiosk or corrections needed. Reporting as needed.
- Prepares accounting information for accounting employee, emails florist daily sales, has daily meal tickets ready for volunteers, gets mail, maintain/orders supplies for Volunteer Services and Gift Shop.
- Maintains/orders supplies for Volunteer Services and the Gift Shop.
- Other duties as assigned.
Job Specifications:
- Education: High school graduate required.
- Experience: Microsoft Office experience is a must (Outlook, Word, Excel and PowerPoint). Proficient in spelling, grammar, punctuation and other language skills. Proficient in keyboarding, data entry and business writing.
