Job Description
Nursing Administrative Assistant/Information and Records Clerk
The Nursing Administrative Assistant/Information and Records Clerk provides administrative support to the entrance process.  Responsibilities include document processing and tracking, data entry, filing, and support as needed to relieve the Receptionist. This position reports to the Dean of Nursing Education Programs.


Responsibilities
Specific duties include, but are not limited to, the following:

  • Establish and organize all new nursing student files
  • Gather and track all documents required for student files until complete
  • Assist with transfer of credit process by securing transcripts
  • Download applicant background checks and file appropriately
  • Maintain the integrity of the student database in order to ensure complete accuracy for local records as well as for state and/or Federal reporting
  • Process changes in admissions and student records as required and appropriate
  • Maintain confidentiality of all business records and information regarding students, supervisors, or other employees
  • Provide assistance to other managers as appropriate
  • Assist with all reports regarding College entrance
  • Assist with advertising for the institution
  • Attend and take minutes at Committee Meetings
  • Administrative front desk responsibilities as needed to relieve Receptionist
  • Other tasks as assigned
Qualifications

Qualifications
Proficient and knowledgeable in the use of integrated software systems and Microsoft Office applications. Must be able to maintain a professional and friendly demeanor and represent the company in a professional manner with all customers, personnel, vendors, and students. High school diploma required; college degree preferred. Prior office and receptionist experience a plus.


Classification
The Information and Records Clerk position is a non-exempt full-time position. Work hours may vary daily, and evening and weekend hours may be required.

Physical and Mental Requirements
The Information and Records Clerk works primarily, but not exclusively, in a climate-controlled environment with minimal safety/health hazard potential or work hazards. The position requires average agility and good physical condition. This individual should have the ability to lift and carry moderately heavy materials weighing up to approximately 25 to 30 pounds. Work may require sitting, reading, writing, computer use, lifting, stooping, bending, stretching, walking, standing, pushing, pulling, reaching, and other physical exertion
