About the role
What You’ll Do:The Contract Manager ensures accuracy and completeness of all contract-related documentation, coordinates timely contract execution, and manages communication with relevant parties to support a smooth closing process. This role also oversees contract reporting, document preparation for government loans, and final closing statements to ensure compliance with company policies. Your Key Responsibilities Include:
- Review and ensure the accuracy and completeness of all contract-related documentation before submission.
- Follow company policies to review and complete contract checklists.
- Coordinate and execute the contract process efficiently and within the required timeframes.
- Verify the accuracy of contract reporting, ensuring all necessary information is received and documented correctly.
- Distribute relevant contract information to appropriate internal and external stakeholders throughout the contract process.
- Enter and confirm contract details in NewStar align with divisional reporting and company policies.
- Maintain organized, active job files for all contracts in backlog, collaborating with coordinators to keep records updated.
- Schedule and coordinate closing dates with office personnel, sales, and construction teams, realtors, title companies, and lenders as needed.
- Regularly update management, title companies, and lenders on contract status to ensure smooth communication and progress.
- Process contract cancellations, including managing earnest money refunds as applicable.
- Work closely with title companies, buyers, and other stakeholders to ensure a timely and efficient closing process.
- Prepare closing worksheets and other necessary documents for the contract file.
- Compile required government loan documentation, such as Builder Certifications and Warranty of Completion of Construction, and secure warranty company acceptance when needed.
- Calculate and prepare final numbers for closing as per company guidelines.
- Distribute all necessary closing documents to involved parties and review and approve closing statements from title companies for accuracy.
- Perform other duties as needed or assigned.
What You Have:
- Skilled in reading, analyzing, and interpreting various reports.
- Proficient in evaluating problems and providing practical solutions.
- Strong capacity to build and maintain positive working relationships with customers, contracted agencies, colleagues, and supervisors.
- Adaptable to fast-paced environments with solid multi-tasking abilities.
- An Associate's or Bachelor's degree in a related field is preferred, or an equivalent of education and experience is required.
- At least three years of experience in residential construction administration.
- At least one year of contract administration experience is required.
- Proficient with Microsoft Office.
