Job Description

Who will you be working with?
The Friction Product Line designs and manufactures high-friction and low-friction composition, sintered brake shoes, specialty shoes, and disc brake linings for freight, locomotive and transit vehicles.


How will you make a difference?
As a Sales & Marketing Specialist, reporting to the Sales Director of Product Line, you will be responsible for providing effective customer service for all internal and external customers by utilizing excellent, in-depth knowledge of company products and programs as well as working with team members within the Sales & Marketing Department. Receive, investigate, and respond to all customer inquiries regarding shipments, products, and complaints. Input phone/fax/mail/EDI orders and relative data into the computer by performing the following duties. Other duties may be assigned to meet business needs.


What do we want to know about you?

  • High School diploma. Two- or four-year degree preferred
  • One (1) to three (3) years of Administrative Support experience (preferably in a manufacturing environment).
  • Excellent customer service & communication skills .
  • Comfortable communicating with all levels of management.
  • Ability to speak and communicate with a high degree of professionalism.
  • Ability to read and interpret documents.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or schedule form.
  • Ability to resolve problems, organize and manage multiple priorities.
  • Ability to function independently in a multi-task environment and as a team player.
  • Strong background in PC utilization (2 – 3 years of experience) with specific word processing and spreadsheet experience.

 

What will your typical day look like?

  • Talk with customers by phone concerning orders, returns, shipments and products, including unit prices, shipping date, anticipated delays, and any additional information needed by customer
  • Generate price quote to Freight and Transit customers
  • Develop and provide FCA to Sales Manager / Team leader
  • Work closely with inside sales leader to develop monthly sales forecast
  • Prepare FCA for Freight and Transit customers to present to decision makers
  • Prepare transit bid documents for internal approval and submit to transit customers
  • Work closely with Accounting to issue manual and credit invoices
  • Issue RMA to customer and track replacement parts from RFPC to customer site
  • Coordinate with Manager of Friction & Rubber group Quotation and pricing (IC)
  • Coordinate with IC units as needed for shipping and receiving
  • Receive and process orders via phone, fax, email, mail and EDI
  • May be asked to create all documents necessary for shipment of orders
  • Call customers when necessary to advise shipments delay and/or information necessary to process orders
  • Maintain promise dates and when necessary, advise suppliers/customers of changes or discrepancies
  • Follow up on Sales and POs to ensure delivery by specified dates
  • Confers with production, shipping, suppliers, warehouse, or common carrier personnel to expedite or trace missing or delayed shipments
  • Initiate orders for replacement parts and/or for correcting errors (shortages, wrong item shipped, etc.)
  • Receive customer returns and make arrangements for inventory adjustments
  • Supply customers with brochures, MSDS sheets, price quotes, product questions or direct them to the person that is able to assist them
  • Creates and maintains various reports relating to sales, sales orders, backLOG, backORDERS, shipments, On-Time Delivery and other reports as needed.
  • Initiate file maintenance for corrections/additions to customer database files
  • Monitor and order office supplies; scan and file documents.
  • Maintain mailroom and front office conference rooms
  • Assist Finance, Sales, Supply Chain and other departments with tasks as requested
