About the role

**This is an opportunity to join a fast-growing technology company, supporting both our HR & Recruiting teams and serving as an office administrator to help take these teams to the next level. This position is based in our beautiful Downtown Minneapolis office and is on-site five days per week.**

Emergent Software is hiring an HR & Recruiting Coordinator to help our team stay organized and deliver a great experience for employees and candidates alike. In this role, you’ll manage a mix of recruiting coordination, onboarding, and HR administration while helping refine the processes that keep our team running efficiently. This hybrid position is based in our downtown Minneapolis office four days per week and one day remote, and will report to our Human Resources department.

Responsibilities

Recruiting Coordination

  • Partner with the recruiting team to create a smooth, professional candidate experience by managing early-stage communication, responding to inquiries, and resolving common candidate issues.

  • Create and maintain job postings in our Applicant Tracking System (Recruitee) and ensure listings are accurate and up to date on LinkedIn, Indeed, and other job boards.

  • Administer Recruitee workflows, pipelines, templates, and user access to maintain data integrity and support recruiting efficiency.

HR Operations

  • Coordinate onboarding, offboarding, promotions, and internal transfers by managing logistics, updating systems, and communicating with employees.

  • Facilitate new hire orientation, including scheduling, I-9 verification, system setup, and onboarding checklist assistance.

  • Maintain accurate employee records in our HRIS (Rippling) and assist with compliance tracking, policy acknowledgements, and training completions.

  • Serve as the first point of contact for general HR and benefits questions, escalating issues as needed.

  • Support benefits administration, including enrollments, life event changes, Open Enrollment activities, and auditing monthly benefits invoices with carriers and brokers.

  • Assist with HR documentation, reporting, and employee recognition programs to promote engagement and data accuracy.

  • Help ensure HR compliance by assisting with audits and regulatory requirements as needed.

Other Duties

  • Assist with internal events, including team engagement activities and sales events.

  • Support client setup in company systems and help ensure contracts are properly executed and stored.

  • Manage office logistics such as ordering supplies and coordinating with building management.

  • Keep our time tracking tool (TimeCamp) accurate and up to date by reviewing contractor timesheets and onboarding new clients and users as needed.

  • Support with additional tasks as needed.

Required Qualifications

  • 3+ years of administrative experience, ideally supporting HR, recruiting, or people operations.

  • Foundational understanding of HR practices including onboarding, employee lifecycle, compliance, and benefits administration.

  • Strong organizational skills with exceptional attention to detail and accuracy in data entry and document management.

  • Excellent written and verbal communication skills; confident interacting with employees, candidates, and external partners.

  • Proven ability to handle confidential information with discretion and professionalism.

  • Skilled at managing multiple priorities and meeting deadlines in a fast-paced environment.

Preferred Skills & Experience

  • Experience with resume screening, candidate communication, and managing sponsored job postings.

  • Familiarity with our tools such as Rippling, Recruitee, Indeed, LinkedIn, TestGorilla, and TimeCamp.

  • Experience supporting accounting or finance operations, including bookkeeping or accounting support tasks.

  • Enthusiasm for learning and growing within HR, recruiting, or IT staffing.
