Job Description

Grace is hiring a Senior Administrative Assistant to work at our Norco, LA manufacturing site and will report to the Plant Manager. As a Senior Administrative Assistant, you will provide support to the facility ensuring the office runs efficiently and organized by coordinating office activities, performing clerical tasks, and ensuring supplies are stocked. You will also assist various other work groups with administrave needs and provide backup assistance to other team members. 

Responsibilities

  • Manage office/kitchen supply inventory.
  • Clerical/data entry duties including updating and managing network document shared sites, answering phone calls, and responding to various emails.
  • Site lead for community involvement/charity donations.
  • Manage site uniforms – ordering new uniforms/retrieving old uniforms.
  • Point of contact for TWIC activation/deactivation/reimbursement.
  • Organize meetings and luncheons.
  • Manage mail deliveries – including Fedex and UPS.
  • Manage Xerox equipment supplies and servicing.
  • Scan documents and save on network drive.
  • Assist in onboarding new employees to the site.
  • Miscellaneous office errands.
  • Learn other day support job duties to serve as backup when needed.

Required Qualifications

  • H.S. Diploma.
  • 5+ years of administrative assistant experience .
  • Proficient with Word, PowerPoint, Excel.
  • Excellent organizational skills, ability to multitask and work independently.
  • Ability to work effectively with different levels of staff.
  • Strong communication skills, both verbal and written.
  • Must be able to stand, walk, sit, climb, balance, stoop, kneel, crouch, crawl, and climb stairs.
  • Must be able to lift 10-20 lbs.
  • Must be willing to wear PPE (Personal Protective equipment) including but not limited to hard hat, protective eyewear, steel-toed boots, flame resistant clothing, and hearing protection. 
  • Ability to follow safety protocols and standards working in a plant facility with highly hazardous materials. 
     

 

Preferred Qualifications

  • Previous work working in a manufacturing environment.
  • Knowledgeable in Outlook and TEAMs.
  • Previous experience working in SAP and on computer systems. 
  • Experience setting up DOT shipments.
