Catholic Charities provides comprehensive care coordination and treatment services to individuals living with serious mental illness, complex medical needs and substance use needs. Our Queens ACT team provides an integrated set of evidence-based treatment, rehabilitation, case management, and support services delivered by a mobile, multidisciplinary mental health treatment team. ACT supports client recovery through a highly individualized approach that provides clients with the tools to obtain and maintain housing, employment, relationships and relief from symptoms and medication side effects. The Sr. Resource Assistant is part of this multi-disciplinary team and is responsible for supporting this team of professionals to help them stay organized, while completing tasks that allow them to focus on more advanced client responsibilities. The role requires general management of office operations, administrative oversight and bookkeeping.
RESPONSIBILITIES:
The Sr. Resource Assistant is responsible for general management of administrative and office operations. The Sr. Resource Assistant will help to manage front desk operations, general administrative procedures of the programs, oversee management of physical plant; assess and coordinate maintenance of premises and equipment; provide information for budget expense decisions; and work directly with the Clinical Director to ensure various administrative procedures are followed and the program operates as required. This role will serve as an integral liaison with Managed Care Organizations to ensure clients receive authorization for treatment services and to ensure necessary documentation is in client charts to support billing. Duties of the Sr. Resource Assistant include, but are not limited to:
• Maintain and coordinate general office services. Responsible for general management of office and related areas; front desk operations.
• Assist with referrals tracking; tracks Managed Care Organizations for clients, complete pre-authorizations, ensure paperwork is obtained for service delivery and billing; manage medical billing, when applicable.
• Keep team informed of requests for information/requirements needed for practical aspects of billing purposes per MCO, when applicable.
• Responsible for managing treatment medical records and filing.
• Support management around tracking timeliness of service documentation and filing.
• Audit charts, monitoring dates of treatment plan / assessments, send out reminders to staff.
• Complete monthly billing and collaboration with Finance department, when applicable.
• Respond to client needs promptly, accurately and with courtesy and respect.
• Manage budget records for participants, such as money management, petty cash and program service dollars.
• Manage and oversee the O.T.P.S. budget for office maintenance and supplies; provides timely information to Program Manager for budget and expense handling.
• Monitor the completion of staff timesheets, personnel cards, processing of staff insurance claims, payroll authorizations, reports of any incidents/accidents on the promises in a timely manner.
• Act as liaison with Accounting Department. Render prompt and careful attention to all bills received for payment. Responsible for monthly accounts receivable report sent to Accounting Department.
• Maintain and oversee accounts payable, accounts receivable and petty cash funds; responsible for preparation or monitoring of check requests, cash receipts deposit. Oversees and monitors financial records of clients. Ensures program operates within budget.
• Ensure all program equipment including photocopier, fax machine, computers, & printers are in working order. Coordinate requirements and services around physical plant and equipment.
The Sr. Resource Assistant is required to utilize technology and various web-based platforms for general correspondence, client notes, MCO and billing related documentation, and daily work activities. Ability to use equipment such as iPhones, tablets, Surface Pros and easily navigate various technology platforms and reporting systems is a requirement.
