Overview
Element has an opportunity for an Office Admin to join our growing team. The primary function of the is to support the preparation of project folder creation (both physical and digital files when applicable), and assist in the Quality and Administrative needs of the Hillsboro Laboratory group. Office Admin is multi-functinal role that assists with A/P, A/R, checking in/out our customers as well as be the backup admin to support Rancho, Denver and Seattle labs when staff is on PTO/high volumn of work.
Responsibilities
- Assist with incoming phone calls to any location
- Transmit incoming invoices to Accounting in a timely manner
- Send all credit card charges for projects to Authorized Credit card email
- Easy Lobby - Create Badges for new customers / assign badges to customers
- Create Purchase orders for Lab and Administration in AX
- Receive in AX Purchase order
- Work order creation in Labman
- Generate project folders (physical and network)
- Manage job number spreadsheet, including Trade Compliance Questionnaire
- Order and stock office, shipping, and lab supplies
- Acquire and manage potential customer contact information
- Mailing of company literature
- Assist with customer inquiries including NDT Rancho Dominguez customers
- Oversee lounge area for cleanliness, purchase and stock lounge supplies
- Inquire about the needs of our customers throughout their visit
- Shipping and Receiving of customer samples/parts and equipment
- Log in Shipping and Receiving items
- Other duties as assigned
Skills / Qualifications
- 2 Year Associates degree preferred or at least 5 years of Office Admin or General Administration experience
- Proficiency in Microsoft Applications (Word, Excel, PowerPoint, Outlook)
- Availability, flexibility, and maturity to represent the company at a broad range of events/projects in the community, with customers and within the company
- Strong oral and written communication skills to meet a variety of communication needs,
- Strong interpersonal skills that foster open upward and downward communication
- Demonstrate the ability to build and develop relationships
- Technical background is a plus
- Ability to interface with clients
