What YOU Will Do:
- Independently establish, maintain, and revise contract files in accordance with departmental procedures throughout the contract lifecycle, ensuring accuracy and compliance.
- Prepare and distribute contract documents, including summaries, proposals, and correspondence, while maintaining accurate records and logs.
- Manage incoming inquiries, calls, and mail, directing them to the appropriate personnel in a timely manner.
- Coordinate logistics for meetings, travel, calendar entries, and expense reports for Contract Administrators.
- Monitor and administer export license applications (D-Trade) and security device requirements for compliance with contract regulations.
- Prepare basic contract documents (e.g., proposals, export agreements, PIEAs), subject to Contract Administrator approval.
- Oversee customer web portals for order receipt and management, ensuring smooth order processing.
- Mentor and train junior Contract Coordinators, providing guidance and fostering teamwork within the department.
- Ensure superior customer service, building long-term relationships and addressing customer needs with a focus on quality and dependability.
- Demonstrate effective time management, attention to detail, and clear communication in all contract administration tasks.

Qualifications You Must Have:
- U.S. citizenship is required, as only U.S. citizens are authorized to access information under this program/contract
- Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience
Qualifications We Prefer:
- Previous experience working with SAP, is preferred, with the ability to efficiently navigate and utilize the system for contract administration and order processing tasks.
- Strong organizational skills are preferred, with the ability to effectively manage multiple tasks and priorities while maintaining accuracy and attention to detail.
- Time management skills are preferred, with the ability to prioritize tasks, meet deadlines, and ensure timely completion of all responsibilities.
