Summary of the position

We seek a motivated, self-starting, passionate team player to join our firm in the role of Administrative Assistant. 



Responsibilities

This position will support a team of professionals in Troy, Michigan. Responsibilities to include but not limited to:

  • Greet clients as they enter the office and also serve as the first point of contact for inbound calls.
  • Pick up, drop off, and dispense office mail. Handle incoming and outgoing packages. Process USPS and UPS shipping as needed. Scanning documents as needed.
  • Electronic check processing.
  • Run monthly employee birthday reports, prepare card for manager to sign, and send.
  • Maintain the reception and conference rooms for supplies, technology, and cleanliness.  
  • Complete printing/binding tasks as needed. 
  • Set up internal team events held for meetings and training. Includes room and technology readiness, ordering snacks or lunch and beverages. Providing hand-outs if required.
  • Initiate service calls for office equipment and building maintenance. Carpet and window cleaning schedules. Making arrangements for replacement of light bulbs and any other office maintenance as needed.  
  • Organize storage closet
  • Quarterly Tax payments
  • Forwarding of incoming faxes
  • Forwarding of incoming client files
  • Ordering & Mailing of Client gifts
  • Setting up office for holidays
  • Assist with onboarding new hires in coordination with the firm onboarding team
  • Salesforce data entry, electronic forms, data maintenance and participate in on-going training to maintain knowledge of the system.
  • Order and maintain inventory for office supplies, kitchen snacks, coffee and beverage supplies as needed.
  • Maintain kitchen supplies and cleanliness. Run dishwasher once a day. Keep surfaces and sinks clean.
  • Backup other office locations as needed. 
  • Process the employee charitable match contributions.



Requirements

Required Skills/Experience

  • Minimum 3 years of administrative and/or customer service related experience


Preferred Skills/Experience

  • Experience with Salesforce and Outlook


Competencies

  • Motivated individual who is a self-starter and has demonstrated ability to learn new technology and processes
  • Excellent customer service skills
  • Must be willing to work in a fast-paced environment alongside colleagues to reach a common goal
