Purpose

This position is an essential member to the Office of the Registrar, as they work with veterans (students), veteran dependents (students and families), the Department of Veteran Affairs (VA), the Texas Veterans Commission (TVC), Assistant Registrar – Certification, teams within our division, and the campus community to respond to and meet the needs related to veterans/dependents and their education benefits.

Responsibilities

  • Conduct various activities in the Registrar's Office including, yet not limited to certifying veterans for their education benefits through the U.S. Department of Veterans Affairs (VA), processing Hazlewood exemptions, and managing Veteran Certification projects.
  • Support office operations pertaining to veteran education benefits.
  • Coordinate the exchange of information with the campus community consistent with federal and state law and education policy.
  • Communicate information/data to students, parents, staff, faculty, and reporting entities. Process veteran benefits questionnaires and applications for student dependents and veterans and assist them with their needs in person, by phone, email, and via the web.
  • Accept incoming calls, and respond to questions about university and office policy and procedure regarding veteran education benefits. Resolve routine questions and problems, and refer more complex issues to higher levels. Troubleshoot customer inquiries, issues, and complaints (includes follow-up contact as needed).
  • ​Verify the accuracy of veteran education benefits. Enter and update electronic information. Store and access electronic and paper documents. Write, edit, and proofread documentation. Compile statistics and information.
  • Assist with programs, projects, and/or processes specific to the Veteran Certification team. Provide department-wide backup support and cross-train as needed in assigned or other sections of the office.
  • Actively participate in department and section meetings. Participate in and support project teams. May serve as administrative liaison with others within and outside the Office of the Registrar regarding administrative issues.

Required Qualifications

Bachelor's degree and one year of administrative or office experience or High School graduation or GED with five years of clerical experience. Demonstrate competency in the use of the Microsoft Office suite. Exhibits ability to learn and apply new skills. Demonstrate ability to engage, attention to detail, be motivated in the work environment, and interpersonal communication skills (both written and oral). Ability to display tact and professionalism, work cooperatively in a team environment, and provide excellent customer service. Ability to take initiative in working both independently and in cooperation with others.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Extensive experience in a position that demonstrated advanced competency in direct customer service, problem-solving, or related job knowledge. Experience working with the UT Mainframe, student records, and/or Veteran Certification. Demonstrated organizational ability, negotiation skills, and ability to work under pressure. Experience in identifying and resolving problems in a timely manner. Experience learning, understanding, interpreting, and explaining complex policies and/or legislation. Experience working in a university environment.
