About the role

This is a remote position.

Schedule: Part time Hourly - looking for approx. 20 hours a week and they'll be working on the accounts daily. 

Monday to Friday, 9am-12pm EST preferred, but somewhat flexible once onboarded and working more independently.  

As a Senior Bookkeeper, you will manage client financial records with precision and detail using Quickbooks Online. Your primary responsibilities will include ensuring the accurate classification of income and expenses consistent with US GAAP accounting standards. You’ll report daily or weekly to the internal team the status of the account and any information that needs to be relayed to the client in order to maintain accurate financial records.

A critical aspect of your role will be overseeing timely and accurate monthly closings. By adhering to structured processes for coding, recording, and reconciling transactions, you’ll ensure that all financial activity is properly documented and reported within the appropriate periods.

Additionally, you’ll handle vendor management, income tracking, and journaling payroll (wages, taxes and benefits) into the financials, guaranteeing that all entries are accurately reflected in QuickBooks Online (QBO). Your meticulous approach to keeping documentation current will play a vital role in supporting our client's financial health and ensuring the integrity of their financial operations.

Key Responsibilities

1. Bookkeeping & Transaction Management:
○ Daily bookkeeping and transaction categorization for multiple client accounts, initially working with 5 accounts to gain expertise in each.
○ You’ll be required to gain an understanding of how the money flows within the client’s businesses and record transactions consistent with their industry’s standards.
○ Ensure accurate tracking and matching of intercompany bank transfers and manage the integration with PayPal and any other outside bank sources.
○ A mastery of accrual accounting is required

2. Accounts Payable & Receivable Management:
○ Manage client invoices, matching payments accurately to prevent errors, and ensure a smooth accounts receivable workflow.
○ Entering client invoices into Quickbooks Online
○ Entering Vendor Bills into Quickbooks Online and matching payments accurately to ensure the Accounts Payable report is always current and accurate

3. Inventory & Project Tracking:
○ A strong understanding of inventory management and the flow of purchases going to the balance sheet and being recognized as COGS at month-end is required.
○ Support accurate project tracking, as needed, for clients, particularly in retail and wholesale industries, ensuring data integrity across financial records.

4. Sales Channel & Payment Processing Integration:
○ Oversee the integration between Shopify and QuickBooks, ensuring accurate categorization and reconciliation of transactions. Previous experience with the Shopify and Quickbooks integration is a must.
○ Process merchant fees and income allocations accurately using payment platforms like Stripe, Gusto, and Authorize.net, adapting as needed to each client’s processes.
○ An understanding of how to properly manage collection of US Sales Tax in multiple states and properly record the liabilities on the balance sheet as well as the payments made to each state is a must.

5. Month-End Close & Financial Reporting:
