SUMMARY:

The Transition Order Specialist is responsible for reviewing, validating, and processing orders that are transitioned from company acquisitions, between different payers, or settings. This role ensures orders are complete, compliant, and aligned with payer, regulatory, and company requirements before billing. The specialist acts as a critical checkpoint to prevent delays, reduce errors, and provide a smooth transition of patient care.



ESSENTIAL FUNCTIONS:

  1. Review new transition orders for accuracy, completeness, and compliance with payer and Medicare/Medicaid guidelines.
  2. Verify supporting documentation (physician orders, clinical notes, prior authorizations, insurance eligibility, certificates of medical necessity, and proof of delivery, as applicable).
  3. Confirm correct product selection, HCPCS coding, and quantity against clinical requirements and payer guidelines.
  4. Identify and resolve discrepancies or missing documentation by coordinating with referral sources, physicians, patients, and internal teams.
  5. Coordinate and assist patients for missing documentation
  6. Ensure converted orders meet billing and compliance standards before submission to revenue cycle teams.
  7. Track, prioritize, and manage workload to meet departmental turnaround time and accuracy standards.
  8. Collaborate with customer service, intake, sales, and insurance verification teams to ensure seamless order conversion and patient satisfaction.
  9. Maintain up-to-date knowledge of payer requirements, industry regulations, and company policies related to DME billing and compliance.
  10. Other duties as assigned by management


REQUIRED EDUCATION AND/OR EXPERIENCE:

  1. High School diploma or GED equivalent.
  2. 2+ years of experience in DME healthcare order intake , or medical billing.
  3. Strong attention to detail with the ability to identify errors and inconsistencies in documentation.
  4. Excellent communication and problem-solving skills.
  5. Proficiency in EMR/order management systems and Microsoft Office Suite.


PREFERRED EDUCATION AND/OR EXPERIENCE:

  1. Prior experience with conversion order processing or transitions of care.

POSITION TYPE/EXPECTED HOURS OF WORK:

This is a full-time position. May include both in-office and at home flexibility.


SUPERVISORY RESPONSIBILITY:

This position has no supervisory role.


WORK ENVIRONMENT:

This job operates primarily in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

The employee is typically required to sit; occasionally required to stand, climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 10 pounds and rarely lift and/or move up to 25 pounds. Specific vision abilities required by this job include both close and distance vision, color and peripheral vision, depth perception and ability to adjust focus.
