Position Summary
The Construction Project Coordinator reports to and works with the Vice President of Construction. This position will help with many facets of the construction department. This position is fully remote but will require travel to project sites roughly 2x/month along with 1x/month office visits to our corporate office in West Allis, WI.

Essential Duties and Responsibilities:
The essential functions include, but are not limited to the following

Project Coordination:
-
Attend weekly construction meetings in person or virtually

Assemble and distribute weekly meeting minutes

Manage project permit log
-
Manage project submittals including submittal log, distribution, review, etc

Manage project plan updates, including distribution to subcontractors
-
Manage RFI log
-
Issue subcontracts, purchase orders, change orders and owner contracts
-
Track signatures for all contracts and change orders
-
Update vendor and subcontractor contact lists
-
Assist with project bidding, manage bid list, invites, bids
-
End of project warranty letters, O&M, as-built

Assist with project management functions, including some subcontractor buyout

Project Accounting:

Assist with monthly construction invoicing and pay application process

Upload contracts/PO’s/Change orders to Yardi

Assemble monthly subcontractor city cost reporting and/or workforce reporting
-
Manage monthly subcontractor employment utilization reports for WHEDA
-
Manage monthly WHEDA emerging business and workforce development reporting
-
Assist with monthly billing approvals
-
Buyout updates and cost reconciliation

Project Management:
-
Various project management duties including assistance with project buyout, subcontractor management, estimating assistance, etc.

Minimum Qualifications (Knowledge, Skills, and Abilities):
-
3+ years’ experience as a project coordinator, project engineer, assistant project manager or related role
-
Basic understanding of construction practices; ability to read construction plans; preferred
-
Must process a valid state driver’s license and have the ability to travel to jobsites within 2 hours of Milwaukee/Madison.

Strong computer aptitude, including experience with Microsoft Excel, Word, Outlook as well as project and pertinent web application skills
