What You'll Do
This position provides administrative support to ensure the efficient operation of the office. This position will be responsible for handling a variety of tasks that contribute to the smooth functioning of the organization, including communication, financial review, scheduling, data entry and organization.

Expectations of your role:

  • Financial:
  • Review and prepare all check requests, including staff reimbursements and vendor payments for the region ensuring accurate coding.
  • Manage the regional financial payables and HUD drawdowns.
  • Ensure timely processing of client assistance payments.
  • Ensure agency compliance with accounting, audit and fiscal controls.
  • Review monthly general ledger and operating reports for accuracy. Monitor spending and provide input to Program Directors regarding budget spending.
  • Prepare and submit contract billing and invoices for payment.
  • Maintain accurate billing files and ensure compliance with YWCA guidelines and grant policies.

  • Administrative:
  • Manage office supply inventory and place orders as needed.
  • Maintain an organized electronic filing system for documents and records.
  • Manage vendor contracts.
  • Maintain and arrange for repair/replacement of office equipment
  • Participate in meetings and help coordinate regional events.
  • Assist in office upkeep, ensuring a clean and professional environment.
  • Support special projects and initiatives as assigned by management.
  • Conduct research and prepare reports as needed.

  • Communication:
  • Answer and direct phone calls, emails and other forms of communication.
  • Schedule meetings, appointments and conference calls.
  • Greet and assist visitors in a professional and courteous manner.
  • Race and Social Justice:
  • Commitment to diversity, including sensitivity to the needs of residents and staff from diverse cultural and economic backgrounds.
  • Participate and provide leadership in various ways for the agency’s Social Justice Initiative.
  • Support the YWCA’s Social Justice Initiative by understanding how racism, sexism, classism, and other oppressions play out in institutions and systems.
  • Use the lens of social justice to review policies and procedures.
  • Shows demonstrated ability to interact with people of different cultures.

Must have's to be successful:

  • AA degree preferred or equivalent experience in accounting, bookkeeping and non-profit administration including contract management.
  • Strong computer skills, including proficiency in Microsoft Office.
  • Ability to prioritize and manage multiple tasks.
  • Meet deadlines with minimal supervision.
  • Excellent customer service skills for interaction with YWCA staff, funders, government agencies and program participants.
  • Leadership and Team Management:
  • Foster a collaborative and results-driven culture, encouraging innovation and efficiency within the department.
  • Work across multiple departments, from Property Operations, Facilities, Finance/Administration, and Community Initiatives to address and solve problems.

Hours, Rate, and Benefits

  • Hourly Rate: $26.50
  • Hours: 40 hours per week
  • Excellent benefits package including medical insurance, retirement plan, plus generous vacation, holiday, and sick leave plans
  • At the time of hire, employees may enroll voluntarily in the Fidelity 403b Plan
  • After two years of employment, employees are eligible to participate in the YWCA Retirement Fund
