Summary:
As HR Assistant, supporting recruiting you will be involved in many aspects of the recruitment process, ranging from communicating with candidates, partnering with recruiters and hiring managers, and assisting with team projects. The ideal candidate is highly organized, detail-oriented, and a team player.
Typical Work Schedule is Monday – Friday 8:00 AM – 5:00 PM. On-site. Hybrid 3 days in office/2 days from home after 90-day introductory period.
Essential Duties and Responsibilities:
- Administer Job Requisition approval process in Paylocity Applicant Tracking System (ATS); communicate with managers for more information, if needed.
- Post Open Positions. Ensure external and internal job postings are showing and accurate and compliant.
- Support scheduling virtual and on-site interviews with the candidates and the team; Sending out Zoom Calendar Invites with all the required information.
- Prepare and send offer letters.
- Sending out No Thank you emails.
- Approve Job Change Notification's (JCN’s) for New Hires and Temporary employees.
- Initiating background checks online and advise managers when background clears.
- Update and maintain job requisition spreadsheets.
- Enter new hires into onboarding spreadsheet and complete recruiting portion.
- Manage Employee Referral process/payout.
- Answers frequently asked questions from applicants and employees relative to standard policies, referral program and/or hiring processes.
- Collaborate with the HR team to ensure compliance with applicable employment laws and regulations to ensure compliance.
- All other duties as assigned.

- Technology savvy – Computer experienced in Microsoft Office Suite, proficient in using Excel, ATS/HRIS software, and able to quickly adapt to new technology.

- Positive attitude with a ‘no task too big or too small” mentality.
- Excellent communication skills, strong writing/proofreading skills
- Experience exercising discretion and confidentiality with sensitive company information.
- Knowledge of commonly used strategies, concepts, practices, and procedures within the Human Resources field.

Education and/or Experience:
- Bachelor's degree (B.A.) from four-year college or university, is preferred; A minimum of an Associate’s degree in Human Resources or a relevant field is desired. We will consider an equivalent combination of education and experience.
- Minimum of 1-2 years of experience in talent acquisition or Human Resources.
- A Professional in Human Resources (PHR) Certificate is preferred but not required.
