Job Summary
POSITION SUMMARY:
The Executive Assistant will be a highly organized and proactive individual reporting to the Executive Vice President & CEO and will embody our core values. The ideal team member will be resourceful, have a positive attitude, and possess strong communication and organizational skills.
ESSENTIAL DUTIES & RESPONSIBILITIES:
The Executive Assistant will be responsible for, but not limited to, the following duties:
- Calendar Management: Manage the CEO’s calendar, schedule meetings, and coordinate appointments. Ensure the CEO is prepared for meetings and has all necessary materials.
- Communication: Act as a point of contact between the CEO and internal or external colleagues. Manage information flow in a timely and accurate manner.
- Meeting Preparation and Minutes: Prepare for meetings including creating agendas, taking minutes, and following up on action items. Organize company-wide events (such as an annual spring picnic, thanksgiving, holiday party)
- Travel Arrangements: Organize travel arrangements such as booking flights, cars, and hotel or restaurant reservations. Incoming Board Members to include reservations, hotel, car rentals.
- Report Preparation: Prepare internal and external corporate documents for the CEO and the board of directors.
- Confidentiality: Maintain strict confidentiality of sensitive information.
- Project Management: Assist with special projects, provide project support, and ensure deadlines are met.
- Administrative Duties: Perform routine administrative duties like, organizing documents, and managing office supplies.
- Performs other as assigned.
Supervisory Responsibilities: N/A
Travel Demands: Anticipated domestic and international travel is approximately 10-25% depending on business needs.
