Okta is hiring a Sr. Executive Assistant to partner with and support our Chief Customer Officer (CCO). The successful candidate will provide a wide array of administrative, logistical, communications, and project-related support. Okta and the CCO team is in rapid-growth mode and operates at a high tempo. The right person has the ability to take initiative, is professional, quick, creative and motivated. The ideal Sr. Executive Assistant is looking to continually expand their skills and knowledge and is dedicated to the success of Okta and the CCO team. This role will have a high amount of visibility and will work cross-functionally across the company. The Sr. Executive Assistant is dedicated and has the ability to stay steps ahead of the CCO and their team.
Job Duties and Responsibilities:
- Manage the daily schedule of the CCO; coordinate domestic and international travel and process expense reports
- Anticipate the executive’s needs and proactively assemble the appropriate people and resources to solve problems. Plan, schedule, and coordinate small and large meetings with both internal and external audiences.
- Provide support in the preparation and execution of meetings including: presentation preparation, spreadsheet management, etc.
- Form trusting relationships with customers, team and contacts
- Manage contacts for executive partners, proactively understanding who they are, which have priority and keep track of communication needed for priority contacts
- Field incoming requests; exercise strong judgment and discretion with highly confidential information
- Organize executive’s email, g-drive, and other document flow
- Lead, drive and execute on various team events, socials, offsite meetings, etc.
- Work cross-functionally to ensure communication is efficient and clear between teams
- Coordinate logistics for visitors
Background and Required Skills:
- Bachelor’s degree in business or equivalent major
- 7+ years’ of relevant experience
- Previous experience supporting a CXO or other Section 16 officer of a public company
- Understand public company cycles and processes
- Proven ability to interact in a professional manner with Customers, Prospects, Board Members, Investors and Internal Team
- Extensive experience working with material non-public information
- Unwavering integrity
- Experience with web-based scheduling and collaboration tools in a mac environment, e.g., GMail, Google Slides/Docs/Sheets, Powerpoint, Excel, SFDC, Gainsight, Financial Force, etc.
- Proven ability to create high impact presentation documents based on executive input
- Extensive experience with arrangement of complex schedules and logistics, at times, across multiple time zones
- Ability to work on multiple projects, lead priorities and accurately set expectations
- Extraordinary time management skills and attention to detail
- Strong planning, organizational and analytical skills
- Ability to quickly learn new tools and technologies; Interest and experience in using technology and the Internet to improve work efficiency
- Expectation of complete confidentiality on all business matters
- Ability to effectively communicate and collaborate with a diverse range of people and job functions
- Excellent verbal and written communication skills
- Ability to remain energetic and positive in a fast-paced and demanding environment
