About the Role
The Maintenance Administrator plays a critical role in the efficient operation of BTC’s maintenance department. This position is responsible for managing, tracking, and reporting on various maintenance tasks within the company’s Maintenance Information Reporting (MIR) system, handling invoices, supporting inventory management, and assisting with parts control across all company shops. The ideal candidate is organized, detail-oriented, and capable of multitasking in a fast-paced environment.
Key Responsibilities
- Correct and close invoices in the Maintenance Information Reporting (MIR) system.
- Verify that all vendor invoices have been accurately entered and sent to Accounts Payable for timely payment.
- Run and review service reports for Preventive Maintenance (PM), Department of Transportation (DOT) compliance, and general maintenance activities within MIR.
- Track and input monthly mileage data into the MIR system for reporting purposes.
- Assist with monthly inventory counts across all shops, ensuring accurate reporting of stock levels.
- Monitor and address any negative inventory amounts and report them to the Work Improvement Group (WIG).
- Help control the flow of parts, including ordering, receiving, and entering new parts into the system for all shops.
- Support the team in maintaining organized and efficient parts inventory systems.
- Collaborates closely with the Maintenance Director and Shop Supervisors across all BTC shop locations.
- Performs other related duties as assigned.
Required Skills and Qualifications

High school diploma or equivalent (additional education in office administration or related field is a plus).

2+ years of relevant administrative experience, ideally within a maintenance or facilities environment.

Proficiency with Microsoft Office Suite (Word, Excel, Outlook).

Strong organizational and time management skills with the ability to handle multiple priorities.

Excellent written and verbal communication skills and a customer service mindset.
Preferred Qualifications

Experience with Maintenance Information Reporting (MIR) systems or similar maintenance tracking software.

Familiarity with accounts payable processes and basic inventory management.

Ability to work independently with minimal supervision.
Physical Requirements

Prolonged periods of sitting and computer work.

Ability to lift up to 15 pounds as needed.
