Job Description
Western Digital is currently looking for an Administrative Assistant. In this position, you will support a Communications team, including direct support for Senior Director, Strategic Communications, as well as support for a team of Directors.
The ideal candidate will be highly organized, detail-oriented, proactive and a self-starter.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Support the Senior Director of Strategic Communications, and a team of Executive Communications Directors with a variety of administrative support functions, and help coordinate team meetings, special projects, other initiatives
- Maintain and manage the Senior Director of Communications’ calendar, including recurring meetings, prioritizing and using good judgment in offering solutions to complex scheduling and meeting planning, as needed
- Schedule and coordinate meetings, including attendee communications, venue location management/site coordination, audio/video set-up and management as needed, and catering
- Help the leader remain proactive in managing times and priorities
- Enable and plan global travel activities; coordinate accommodations, and local transportation and passport/visa requirements, as needed
- Proactively compile, submit, and track expenses in a timely manner
- Proactively anticipate potential travel issues and respond accordingly
- Provide exceptional attention to detail in all efforts
- Anticipate potential changes or shifts in priorities amidst simultaneous demands for attention
- Complete projects, special assignments, other tasks, and duties as assigned
Qualifications
REQUIRED
- 5+ years of administrative or equivalent experience, preferably in a fast-paced environment
- Previous success at building strong organizational relationships in a global environment, and in fostering teamwork
- Demonstrated experience in working to independently identify, analyze, and solve problems with creative and successful solutions
- Resourceful and passionate about making others more efficient
SKILLS
- Excellent organizational skills, and the ability to be agile
- Excellent project management skills, with the ability to manage multiple projects simultaneously, often under tight deadlines
- Highly collaborative and adaptable, with the ability to build relationships and work effectively with multiple stakeholders across different levels of the organization
- Curious, flexible, and the ability to think creatively
- Enjoy working in a fast-paced environment, self-motivated
- Demonstrated expertise in Microsoft Office products, including Word, Excel, PowerPoint, Outlook, Teams, and willingness and ability to learn company-specific software or system tools
- Exceptional written and verbal communication skills
