The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

Performs administrative functions for the Counseling Center and is the principal liaison to other University Offices for matters related to student status and mental health concerns. Manages staff Human Resources including supervising clerical support staff, trainee recruitment and credentialing; prepares and administers the departmental budget. The Administrator also participates in policy and procedure development and serves as principal assistant to the Director, University Counseling Center.

ESSENTIAL FUNCTIONS

BUDGET: Maintains department accounts.  Prepares information for capital and operating budget. Reconciles UR ledgers monthly. Reconciles receipts and payment records monthly. Prepares, submits, records and tracks requests for extra compensation. Process requests for payment and requisitions as needed for purchasing supplies.
 

UCC P-Card user. Enter journal entries and process invoices from UR approved suppliers and internal suppliers. Assist with Workday expenses related to reimbursements for faculty, staff, and students. Assist with budget projections for following fiscal year.

Supports finance functions at the department level, including reviewing budget expenditures and forecasting future needs. Prepares and processes financial transactions. Responsible for budgeting and forecasting activities and payroll. Oversees expenditures, expenses, and strategic and operational fiscal management.

HUMAN RESOURCES: Coordinates recruitment, hiring and terminating, along with onboarding psychology interns and post-doctoral fellows, social work interns and social work fellows, including credentialing, licensing, appointments, pay, benefits and the like as appropriate. Advertises positions, maintains candidate files and coordinates interview scheduling. Participates in recruitment of senior staff as directed by the Director, UCC. Facilitates the onboarding process for incoming faculty and staff, adhering to the AAAHC and URMC standards where applicable.  Oversee UCC payroll practices and procedures and serves as timekeeper. Process PAFs.  Create mypath accounts for incoming SW interns. Manages internal HR components, including maintaining internal vacation, sick, and Professional Development time for staff/trainees. 

SUPERVISOR: Supervises UCC Intake  Coordinators, including recruitment, employment decisions, scheduling, weekly supervision meetings, evaluation and ongoing training.  Provides direct support and coverage during busy periods and staff absences.

ADMINISTRATION: Represents UCC and serves as initial contact and liaison for departments and schools in communicating instructions and interpreting UCC administrative policies and procedures to students, parents, faculty, staff and the public.  Demonstrates sensitivity to confidentiality concerns and the nature of crisis situations. Coordinates mandated mental health assessments and medical leave evaluations. Provides executive assistance to the Director, UCC, managing calendars, maintaining files, initiating, revising and completing confidential correspondence.  Aids in planning and completion of projects initiated by the Director.  Composes instructions to follow-up and complete projects. Provides and/or delegates support for the Director of Training, Clinical Case Manager, and Clinical Director.  Particiates in monthly and weekly meetings and keeps minutes on Senior Staff meetings.
