Summary

Provides administrative support to the management team and other Purchasing department employees through the coordination of departmental administrative functions.  Responds to or refers information requests by phone, e-mail/general correspondence or in person.  Coordinates correspondence and reports and provides word processing support to departmental staff.  Supports transcription and assures proper filing, retrieval and retention of documentation.

What You'll Do

  • Coordinates correspondence and documentation related to vendor onboarding and pre-qualification.
  • Assists purchasing agents with the processing and evaluation of Requests for Proposals (RFPs).  This may include but is not limited to uploading documentation into RFP tool, managing correspondence in RFP tool, and transcribing responses from bidders into evaluation spreadsheets.
  • Assists Purchasing team with processing of corporate card transactions.
  • Manages Purchasing’s monthly self-audit process and provides applicable reports to Purchasing management.  This includes following up with purchasing agents and updating of reports as applicable
  • Manages key purchasing reports (ie., PO Expedite/Past Due Report, PO Management Report, Contract Management Report, etc.) and transmits reports as needed to purchasing agents, management, and applicable internal customer groups.
  • Maintains SAP data (ie., lead times, prices, etc) under the direction of purchasing agents.
  • Provides support to purchasing agents with the processing of invoice exceptions and management of POs 
  • Other responsibilities as assigned from Purchasing Management

Experience

At job entry, placement will be determined by a review of college transcripts and related work experience.  A minimum of 6 years of related experience is required for the senior level.  Once placed into the job family, an employee may become eligible for promotion by demonstrating the ability to perform advanced and more difficult work as determined by their management and meeting experience requirements.
