JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University is seeking an experienced Administrative Support Assistant 4 to provide direct support to the Department Head and Faculty in the Department of Animal Science.  This person is often the initial point of contact for the Department and is thus an important representative of the Department, College, and University.  The selected incumbent will be responsible for ensuring that deadlines and related activities are met by the Department Head and Faculty; act as a liaison between the Department Head's office and various internal and external contacts; and respond to a variety of inquiries regarding department administrative policies and procedures. This person will also

  • Attend departmental meetings;

  • Compose and edit correspondence, reports, department policies, checklists, forms, and faculty meeting minutes;

  • Collect data and maintain various reports;

  • Organize and manage department files and research projects;

  • Maintain confidentiality of various correspondence, files, and sensitive issues;

  • Maintain the Department Head’s calendar and make travel arrangements when necessary;

  • Evaluate and determine priorities of requests for the Department Head;

  • Work with the Administrative Support Coordinator to handle items not requiring the Department Head's attention; and

  • Maintain electronic/hard copy documents on behalf of the Department Head, and manage other projects as assigned.

The successful candidate will also be responsible for the following:

Faculty Searches: Coordinate faculty recruiting campaigns; arrange itineraries; and prepare materials and reports. Oversee planning and coordination of internal and external department functions (set up seminars, arrange meals, lodging, travel, equipment, etc.). Periodically assist with planning functions for national meetings.

Promotion & Tenure, Sabbaticals, Faculty Awards, and Committees: Compile and prepare materials for promotion and tenure dossiers. Coordinate and review sabbatical applications and reports.  Oversee annual department committee elections/appointments. May serve on various committees.

Faculty Reporting and Evaluation: Coordinate the annual review process of faculty and staff with the Department Head. Collect, review, and process various faculty reports including the annual self-reports of faculty activity. Collect and schedule revi
