JOB SUMMARY
The Department of Pediatrics is seeking a professional, proactive, and positive individual to join our team as an Administrative Associate (Lead Role). This position serves as the lead administrative support for the division and works closely with the Division Chief in collaboration with the Division Operations Administrator to ensure administrative operations are efficient, well-coordinated, and executed with a strong sense of business acumen.

As the division’s lead administrator, this individual will act as a liaison between the division and departmental operational support teams such as Clinical Operations, Facilities, Faculty Support, Financial Affairs, Human Resources,  and Research Administration.

In addition to leading faculty and classified staff recruitment and onboarding, serving as the primary timekeeper, reconciling divisional funds, and coordinating special events and conferences, this role will determine work priorities, manage resource utilization, and contribute to the division’s overall operational effectiveness. Supervises one staff member.

The ideal candidate will be detail-oriented, highly organized, and possess strong leadership, communication, and administrative skills. The successful candidate will demonstrate sound judgment, critical thinking, professionalism, confidentiality, and a proactive, customer service–oriented approach to problem-solving. The position requires the ability to manage multiple priorities in a fast-paced, professional environment.

 

SUPERVISORY RESPONSIBILITIES

  • Directly supervises one administrative staff member within the division.
  • Provides day-to-day leadership, workload coordination, and performance feedback.
  • Identifies training and development needs and supports ongoing professional growth for administrative personnel.
  • Serves as the primary point of contact for administrative process questions and ensures consistency, accuracy, and compliance across the division’s operations.

WORK ENVIRONMENT / SCHEDULE

This position will be on-site during the initial training period to ensure a comprehensive understanding of departmental operations and systems. Upon successful completion of training, the role will transition to a hybrid work schedule, combining on-site and remote work in alignment with departmental needs and university policy.
