Job Highlights Contract: Independent Contractor Schedule: Monday to Friday, 9:00 AM to 6:00 PM AEST with 1 hour unpaid break (8 hours per day / 40 hours per week) Reports To: Owner / CEORole Overview
The Senior Executive Assistant will serve as a trusted right hand to the Owner, providing comprehensive administrative, operational, and strategic support. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs in a fast-paced, high-performing environment. The ideal candidate will bring strong business acumen, initiative, and a proactive approach to managing both professional and personal priorities for the Owner.
Key Responsibilities Executive Support-
Manage and prioritise the Owner’s calendar, appointments, and travel arrangements (domestic and international).

Screen and manage communications, emails, calls, and correspondence, ensuring timely and appropriate responses.

Prepare presentations, reports, proposals, and meeting materials with a high level of professionalism and accuracy.

Arrange and co-ordinate meetings/ appointments, including action item tracking.

Handle confidential and sensitive information with absolute discretion and professionalism.

Liaise with internal teams, franchise partners, and external stakeholders on behalf of the Owner.

Assist with business operations, project coordination, and ensure key deliverables are met.

Oversee administrative processes, document management, and file organization.

Prepare expense reports, budgets, and manage vendor relationships where required.

Support the Owner in managing key business priorities, initiatives, and timelines.

Conduct research and compile data to support decision-making.

Track and report on KPIs, performance metrics, and operational updates.

Serve as a liaison between the Owner and the senior management team to ensure smooth communication and alignment.

Assist with occasional personal errands, appointments, and household coordination.

Manage travel logistics for family or personal events when required.
Requirements

Minimum of 5+ years’ experience as an Executive Assistant or Senior EA supporting C-suite or business owners.

Background in franchise, retail, or service-based industries (highly preferred).

Strong understanding of business operations and executive-level priorities.

Exceptional written and verbal communication skills.

Proficiency in Microsoft Office Suite, Google Workspace, and productivity tools (Asana, Monday.com , Slack, etc.).

Experience managing confidential information and high-level correspondence.

High emotional intelligence and strong interpersonal skills.

Strategic thinker with excellent judgment and initiative.

Highly organized, with exceptional attention to detail and time management.

Ability to work autonomously and anticipate needs proactively.

Discreet, trustworthy, and reliable in handling sensitive matters.

Comfortable in a fast-paced, entrepreneurial environment.
