Partner with your peers and leaders to make a lasting, positive impact on society through some unique projects affecting our clients and our communities.  We are seeking a Senior Administrative Coordinator to join our team in the Irvine, California office.  This position reports to the Verdantas Lead Administrative Coordinator.

Responsibilities:

  • Create and format proposals, estimates, correspondence, reports, permits, and other documents 
  • Prepare reports and presentations for distribution 
  • Process contracts for new and existing projects 
  • Request insurance certificates for projects 
  • Demonstrate strong attention to detail, organization skills, and the ability to meet deadlines 
  • Maintain project databases/organization of correspondence/account information 
  • Coordinate office functions and client-related meetings and functions 
  • Operate and maintain standard office equipment including computer, copier, postage meter and scale, and plotter 
  • Ensure interactions via phone, email, or in-person with clients and other company employees are professional and welcoming 
  • Collaborate with other office support staff, if needed, to ensure project deadlines are met
  • Be willing to work overtime when necessary 
  • Assist with submitting licensing requirements for professional staff 
  • Assist Human Resources and supervisors with new hire processes and company swag  


Qualifications:

  • High School diploma or equivalent required; associate degree preferred 
  • 8-12 years of experience supporting administrative duties in a fast-paced environment 
  • Strong Microsoft Office Suite experience including Adobe 
  • Excellent organizational skills and attention to detail 
  • Effective critical thinking and decision-making skills  
  • Ability to meet deadlines and to work independently 
  • Good time management skills 
  • Ability to pass a background check
