The Administrative Assistant provides administrative and clerical support to World Relief Quad Cities (WRQC). This position supports day-to-day operations for the WRQC Moline office and serves as the first point of contact for office visitors.  

Role & Responsibilities

  • Function in primary reception role for program participants, volunteers and other visitors to the office, fielding general questions, providing basic assistance, or connecting them to appropriate staff in a timely manner 
  •  Answer general incoming calls and allocate messages from voicemails to appropriate staff in a timely manner 
  •  Maintain a clean, welcoming and informative environment in the office reception area 
  •  Open, distribute and process incoming mail and prepare outgoing mailings   
  • Maintain up to date calendar of staff and intern birthdays, work anniversaries, and other celebratory events and coordinate appropriate acknowledgements 
  •  Assist in orientation of new employees to office policies and procedures   
  • Manage, track and ensure the smooth functioning of office resources such as office furniture, keys, equipment (computers, printers, etc.), office phones, cell phones, and vehicles   
  • Maintain adequate quantity of general office and cleaning supplies, including ordering for delivery and pickup as needed 
  •  Oversee the site security plan and filing of any security or risk management incident reports with World Relief Home Office 
  • Troubleshoot basic IT issues for the team and coordinate use of IT contractors as needed for more advanced IT problems 
  • Assist with check deposits at the bank, cash withdrawal, and other finance-related responsibilities as assigned 
  •  Coordinate services of other contractors as needed (office cleaning, toner, vehicle repair and maintenance, etc.) and ensure invoicing is submitted to finance in a timely manner 
  •  Assist in logistics and operations of annual World Relief events and projects including but not limited to staff meetings, conferences, retreats, fundraising events and volunteer events as assigned by supervisor 
  •  Assist the Leadership Team in various tasks and projects as assigned 

Knowledge, Skills, & Abilities

  • Leadership and cross-cultural experience desired   
  • Fluent in English with excellent oral and written skills; preferably bi-lingual (Swahaili, Spanish, Arabic, or Burmese) 
  •  Experience working with in person and phone interpreters preferred 
  •  Advanced proficiency in MS Office programs   
  • Detail oriented with ability to manage multiple tasks and projects simultaneously 
  •  Enjoy working in a fast paced, challenging, and multi-cultural environment 
  •  Able to work well with others in a professional, friendly, and flexible manner   
  • Ability to do basic IT troubleshooting with staff computers and equipment 
  •  Ability to problem solve independently and improve office functions independently
