Summary

HII, Mission Technologies has a need for an Executive Assistant who will perform normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to supervisor’s assignment. May take and transcribe dictation.

 

The position requires onsite attendance in Arlington, VA.

Essential Job Responsibilities

  • Manage, prioritize, and anticipate needs/tasks for C-Suite Executive.
  • Work closely with relevant stakeholders (e.g., Division Chiefs, Senior Communications SME) to ensure the correct briefing or messaging is immediately accessible by the C-Suite Executive for the relevant engagements.
  • Build relationships with senior leaders to establish procedures and protocols on efficiently coordinating information and meetings.
  • Manage the C-Suite Executive Calendar in coordination with those expected at any given meeting, town-hall event, etc. 
  • Engage and coordinate with C-Suite Front Office Executive Assistants to firm up documentation, briefings, etc.  
  • Research of records database and conduct data calls to retrieve information to support analysis and schedules. Execute reports pulling from established processes (e.g., new hires).
  • Coordinate New Hire Briefings.
  • May work with minimal supervision and work may be done without established procedures.
  • May assist in orienting, training, assigning and checking the work providing non-substantive input (e.g., grammar corrections).

Minimum Qualifications

  • High School Diploma or equivalent and 6 years additional education and/or related experience.
  • Experience working within DoD.
  • Proficient in the use of Personal Computers (PCs) and MS Office Suite applications, including advanced knowledge of Microsoft Outlook including daily/weekly views of 1 or more calendars.
  • Strong interpersonal skills with clear and concise verbal communication; Will frequently interact with individuals representing outside organizations, and/or individuals of significant importance within the company.
  • Plan and prepare various communications requiring skill, tact, persuasion, and/or negotiation to accomplish objectives of the communications.
  • Manage calendars, scheduling. coordinating, and executing meetings and teleconferences.
  • Complete tasks in the Defense Travel System (DTS). 
  • Monitor and support Correspondence and Task Management System (CATMS).
  • Create, maintain, and review correspondence in accordance with DoD Written Correspondence (DoD 5110.4-M).

Physical Requirements
