Your Specific Responsibilities:
This position serves as administrative support to attorneys in the Administrative Practice Group in the Office of the General Counsel. This position works independently in making decisions and obtaining solutions to routine problems.
Review incoming documents. Investigate subject matter and prepare standard pleadings based on information received.
Maintain files and records of office correspondence, documents and other materials. Filing is done on a daily basis.
Filing systems are logically organized and uncomplicated and can be used by other staff members without difficulty. Files are complete in that they contain all appropriate records and documents. Documents and records are attached in the file in an orderly fashion and retrieved in a timely manner.
Type all correspondence, reports and documents prepared by assigned attorney(s). All typing is proofread for spelling and grammatical errors. Typed work product is completed by assigned due date. Copies are forwarded to appropriate parties.
Monitor subrogation (third party collections) for the Brain & Spinal Cord Injury Program. Follow up on the money received from entities in response to BSCIP liens. Initiate and follow up on contacts with attorneys and counselors regarding collections, files, liens with county clerks, and maintain contact to assure the Department of Health's lien rights are protected.
Answer phones as necessary. Incoming calls are answered promptly.
Maintain calendar for assigned attorney(s), preplan and schedule appointments, meetings, conferences, and hearing dates. Arrange for court reporters at depositions and hearings.
Make travel arrangements, which may include air reservations, rental car, hotel room, etc. Process travel reimbursement claims.
Communication with other attorneys, staff and clients about hearings, trials, appeals, subpoenas, etc.
Perform electronic filings in various courts and provide e-service to the appropriate parties.
Perform related work as required including assisting other support staff and other attorneys.
Required Knowledge, Skills, and Abilities:
Ability to work independently
Ability to plan, organize, and coordinate work assignments
Ability to establish and maintain effective working relationships
Ability to communicate effectively
Knowledge of Microsoft Office software
Knowledge of standard business formats and styles for letters and pleadings necessary to carry out functions. Familiarity with case reporting and organization of statutes and regulations (federal and state).
Knowledge of general legal principles, practices, and procedures; legal terminology; levels of judicial system and administrative rules and regulations.
Ability to perform legal research, collect legal data for use in preparing legal documents.
Qualifications:
1 to 3 years of experience as a Legal Assistant
