Job Description:

The Department of Physics & Astronomy is seeking a program coordinator or program manager who will serve as the primary administrative support for the Director of the Medical Physics and Health Physics program and the primary administrative support for the Professor and Hearne Chair of Theoretical Physics II. The program coordinator level is expected to assist the Director and Chair with the programs various administrative needs. The program manager level is expected to provide independent action. The Medical Physics program is a nationally recognized graduate program, a joint academic and research program of Mary Bird Perkins Cancer Center (MBPCC) and the Louisiana State University (LSU) Department of Physics and Astronomy, is one accredited program of 60 in North America and 62 world-wide. It is the only medical physics education program in Louisiana. The Hearne Chair II (HCII) encompasses research spanning condensed matter physics, atomic physics, nuclear physics and quantum information. HCII is co-director of the Hearne Institute of Theoretical Physics that encompasses all areas of theoretical physics pursued at LSU and encourages creativity and interaction of experimental & theoretical areas ranging from quantum gravity to quantum theory of matter, radiation and information. 

Program Coordinator Responsibilities:

(48%) Medical Physics Program Support: Assist with accreditation activities for Medical and Health Physics degree programs (Masters & PhD). Assist with completing required annual reporting for accreditation and assist with preparation of renewal application and planning of site visits every 5 years.  Keep and maintain internal program records on students, faculty, program operations, accreditation and continuity measures.  Assist faculty with maintenance of medical credentials, professional licensing, and professional board certifications.  Assist faculty with distance and in-person learning. Liaison with other office staff to help manage adjunct faculty appointments, graduate faculty appointments, grants and other financial aspects of the program. Monitor graduate student progress towards timely degree completion. Assist with Medical Physics degree program graduate admissions, including logistics for outreach, applications, visitations, and orientation.  Provide administrative support to the Director of the Medical Physics and Health Physics Program, including managing the Medical Physics director's calendar, scheduling meetings and events, attending Medical Physics committee meetings as recording secretary, assisting with travel and purchasing for Medical Physics faculty, and preparing communications for the program including alumni communications, newsletters, and website updates.

(48%) Hearne Institute Support: Provide administrative support to the Hearne Institute and the Hearne Chair II of Theoretical Physics. Arrange travel and reimbursements for faculty, staff, and visitors. Assist in planning and managing logistics for Hearne Institute Workshops and Seminars. Coordinate Hearne Institute Conference room schedule. Liaison with other office staff to help manage postdoc hiring, visas for international visitors, grant administration (including proposal development, budgeting, and required reporting), graduate student support and tracking.  Assist with procurement and yearly inventory. Assist with maintaining website and assist with communications including advertising seminars and workshops. Assist in providing support to collaborative research programs and agreements with external research partners. Assist faculty with distance and in-person learning. (4%) Other activities as assigned by the Medical Physics Program Director, Hearne Chair II, and Department Chair.
