Job Description

Become a vital member of our healthcare team as a Medical Administrative Assistant. In this role, you’ll manage crucial administrative tasks, ensuring smooth clinic operations and exceptional patient experiences. You’ll handle appointment scheduling, patient communication, and documentation management while also assisting with basic billing follow-ups. This position offers a unique blend of administrative expertise and healthcare support, providing an opportunity to make a real difference in patients’ lives while developing your skills in medical office management.

Responsibilities

  • Manage patient appointments and maintain an efficient scheduling system
  • Handle incoming calls professionally, addressing patient inquiries and concerns
  • Oversee patient registration and intake processes, ensuring accuracy and completeness
  • Distribute and follow up on new patient forms and appointment documentation
  • Conduct patient outreach for appointment reminders and form completion
  • Perform essential administrative tasks to maintain clinic organization
  • Assist with basic billing follow-ups, including rejected claim resolution
  • Generate and send patient invoices as needed
  • Collaborate with the existing EMR system and billing processes
  • Maintain strict patient confidentiality and adhere to HIPAA regulations

Requirements

  • Prior experience in medical office administration or related field
  • Strong knowledge of medical terminology and healthcare practices
  • Excellent verbal and written communication skills
  • Proficiency in electronic medical record (EMR) systems
  • Exceptional organizational and multitasking abilities
  • Basic understanding of medical billing processes
  • Strong customer service orientation and professional demeanor
  • Ability to work remotely and adhere to US Eastern Time zone hours
  • Comfortable with direct communication with practice doctor and potential patient interaction
  • Adaptability to transition from part-time to full-time as needed
