Job Description
Summary
The Executive Assistant performs a variety of administrative tasks and supports our company's senior-level management. One contributes to the efficiency of the business by providing personalized and timely support to executive members. Collects and prepares information for use in discussions/meetings of executive staff and outside individuals. Acts as the point of contact among executives, employees, clients and other external partners.
Position Responsibilities
- Manages confidential information flow in a timely and accurate manner
- Prepares presentation materials for board of director meetings and other internal/external meetings
- Manages executives' calendars and sets up meetings
- Makes travel and accommodation arrangements
- Tracks daily expenses and prepares weekly, monthly or quarterly reports
- Oversees the performance of other administrative/clerical staff
- Acts as an office manager by keeping up with office supply inventory and IT needs
- Format information for internal and external communication – memos, emails, presentations, reports
- Screens and directs phone calls and distributes correspondence
- Other duties as assigned
Basic Qualifications (Required Skills & Experience)
- High school diploma or GED equivalent is required
- Minimum of 5 – 8 years' experience as an Executive Assistant or or equivalent combination of education, training, and experience
- Requires a professional certification or equivalent experience in working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors, and other dign.ies
- Requires in-depth knowledge of company operations, policies, and procedures. Maintains a high level of discretion and confidentiality
- Effective communication skills (written and verbal) as well as interpersonal skills. Demonstrates high level of customer service and professionalism
- Experienced and proficient with MS Office (Word, Excel, PowerPoint & Outlook) and demonstrates strong computer skills
- Occasionally may be required to travel within the Continental U.S.
- Must have a valid driver's license and clean DMV record
Other Qualifications & Desired Competencies
- Bachelor's degree in relevant discipline is highly desired or equivalent combination of education, training, and experience
- Well-organized, has strong time management skills and is able to act without guidance
- Familiarity with office equipment and productivity tools
- Able to excel in a fast-paced, deadline-driven environment, where small teams share a broad variety of duties
- Displays strong initiative and drive to accomplish goals and meet company objectives
- Takes ownership and responsibility for current and past work products
- Is committed to learning from mistakes and driven to improve and enhance performance of oneself, others, and the company
- Focuses on teamwork and puts the success of the team above one's own interests
Physical Demands
- Ability to work in an office environment (Constant)
- Required to sit and stand for long periods; talk, hear, and use hands and fingers to operate a computer and telephone keyboard (Frequent)
The salary range for this role is:
$88,000 - $124,740AeroVironment considers several factors when extending an offer, including but not limited to, the location, the role and associated responsibilities, a candidate’s work experience, education/training, and key skills.
